The Initiative for Women in Business (IWB) has been committed to strengthening the female talent pipeline since 2008. Together with award-winning faculty and corporate partners, we proudly support the career development, decision-making and leadership skills of female professionals. We offer a blend of practical knowledge and top academic instruction, centered in three key areas: personal performance, leading growth and transition support.
As the Program Events Coordinator, Initiative for Women in Business, you will support IWB's goal of delivering a diverse portfolio of top tier professional development programs for professional women and its strategy of building a portfolio of profitable customer-centric programs and events. You will be responsible for all activities related to planning, and delivering programs both online and in-person.
Your responsibilities will include:
-Determining logistical details and activities for events and/or programming; overseeing day-to-day operational needs and service delivery requirements of programs, in consultation with Program Manager
-Coordinating the preparation and distribution of program and/or course material; collaborating with program team and as per design recommendations, making edits and revisions to content, content design and interactive tools on Quercus/LMS
-Providing detailed information to students on program and/or course requirements; maintaining course information on student information systems, including program website
-Support recruitment and admissions process by tracking enrollment status and verifying financial and administrative requirements are received in a timely manner
-Implementing plans and process improvements for program activities; editing program and service materials
-Supporting instructors during online/hybrid program delivery by reviewing delivery agenda, creating and moving students to breakout rooms for activities, monitoring chat and other online features, and providing technical instructions andsupport for students when required
-Scheduling coaching appointments using online tools, such as Acuity; managing daily activities using project management tools, such as Asana and excel documents; coordinating meeting schedules, agendas, materials, action and follow-up items (using online tools as well as excel documents)
-Preparing invoices using templates and following up on outstanding payments
 
Essential Qualifications:
 
-Bachelor's Degree or acceptable combination of equivalent education and experience
-Minimum two (2) years recent and related experience, in both online and in-person, event planning, program delivery, customer service, and administration
-Experience delivering and administering online programs using Learning Management Systems and webinar platforms, including Zoom, Adobe Connect, and Webex
-Proficient with personal computer and software including word processing, Excel, PowerPoint, databases, Adobe suite,digital image editing, and UX/UI design
-Knowledge of web, desktop publishing and authoring tools (e.g. Articulate, Canvas)
-Experience in delivering professional development programs designed specifically for women
-Excellent project coordination and event management skills
-Excellent interpersonal and communication skills
-Strong customer service orientation; embraces diversity and fosters inclusion
-Ability to handle multiple programs and/or priorities simultaneously
-Sound judgment under pressure; maturity and professionalism required to interact with senior executives
-A team player with sensitivity to various levels of expectation from corporate executives, faculty, staff and suppliers
-High attention to detail and dedication to accuracy
-Ability to anticipate next steps and work proactively
-Electronic research skills
-Some of our programs are delivered in the evenings and the Program Events Coordinator will be required to work these hours depending on program needs

Notes:
This role is currently eligible for a hybrid work arrangement, pursuant to University policies and guidelines, including but not limited to the University of Toronto’s Alternative Work Arrangements Guideline. 
However on program, event delivery days, and as required for operational needs, you will be required to be in-person.

Pay Scale Group & Hiring Zone:  
USW Pay Band 09 -- $65,407 with an annual step progression to a maximum of $83,646. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
