Job description

We are seeking a versatile and detail-oriented Marketing Assistant and Client Coordinator to join our dynamic team. In this role, you will play a pivotal role in supporting our marketing efforts while also managing client communications and project coordination. The ideal candidate will have excellent organizational skills, strong attention to detail, and the ability to multitask effectively in a fast-paced environment.

Key Responsibilities:

Client Communication and Coordination:

  • Efficiently transcribe and organize notes and requests from clients as they dictate them verbally.
  • Serve as the primary point of contact for client inquiries via phone, email, and in-person meetings.
  • Book new leads and coordinate project schedules to ensure timely delivery of services.
  • Maintain client databases and records, updating contact information and project details as needed.
  • Conduct client outreach and follow-up via email, ensuring prompt responses to inquiries and check-ins on project progress.

Project Management:

  • Utilize digital tools for project management, such as Trello, Asana, or Monday.com, to track project progress, deadlines, and tasks.
  • Assist in the coordination of marketing projects, including campaign development, content creation, and distribution.
  • Collaborate with internal teams to ensure projects are executed smoothly and meet client expectations.
  • Participate in campaign brainstorming sessions and contribute creative ideas for marketing initiatives.

Administrative Support:

  • Answer incoming calls and direct inquiries to the appropriate team members.
  • Schedule appointments, meetings, and conference calls, coordinating availability among team members and Clients.
  • Manage office supplies inventory and assist with general administrative tasks as needed.
  • Perform data entry tasks, including updating client information, project details, and campaign metrics.

Marketing Tasks:

  • Design marketing materials using tools like Canva, ensuring consistency with brand guidelines.
  • Assist in content creation for social media platforms, including drafting posts and scheduling updates.
  • Collaborate with the marketing team to brainstorm, develop, and execute marketing campaigns.
  • Assist in the analysis of campaign reports and data, providing insights and recommendations for optimization.

Client Reporting and Analysis:

  • Generate client reports on campaign performance metrics, including reach, engagement, and conversions.
  • Analyze campaign data to identify trends, insights, and areas for improvement.
  • Present findings to internal teams and Clients, providing actionable recommendations for future campaigns.

Qualifications:

  • Diploma or degree in Marketing, Communications, Business Administration, or related field preferred.
  • Proven experience in a similar role, with strong client service and project coordination skills.
  • Proven experience working in marketing and design
  • Excellent verbal and written communication skills, with the ability to effectively convey information and ideas.
  • Proficiency in using digital tools for project management, such as Trello, Asana, or Monday.com and in learning new tools we integrate into our tech stack as we find new tools to work with to make our work more efficient
  • Ability to transcribe, understand, relay requests, and organize verbal notes accurately and efficiently.
  • Familiarity with design tools like Canva and basic graphic design principles.
  • Proficiency in using Google Docs, Sheets, CRMs, Slack, Adobe PDFs, docusign, and Slides for document creation and collaboration.
  • Knowledge of social media platforms and experience with social media management tools is required.
  • Strong organizational skills and the ability to prioritize tasks effectively in a fast-paced environment.
  • Adaptability and willingness to learn new skills and tools as needed.
  • Customer service first approach and willingness to help where and when needed while being proactive in making suggests that might help improve things in our projects, business operations, and other applicable areas.

Job Type: Full-time

Salary: $22.00 per hour

Expected hours: 40 per week
