Position:
We are seeking an Office Coordinator to join our team. We are looking for someone who can establish and maintain positive relationships with both colleagues and clients while effectively managing their time and a fluctuating workload. This is a full-time (8:30 am – 5:00 pm), in office opportunity and the successful candidate will report to the firm’s Director of HR and Operations.
Key Responsibilities:
Responsibilities may include but are not limited to the following:
· Greeting and directing clients and other visitors in a professional and hospitable manner, answering and transferring incoming phone calls through main switchboard and monitoring general office email inbox for inquiries;
· Overseeing boardroom bookings and ensuring proper refreshments and technology set up for onsite meetings;
· Assisting with general administrative tasks such as scanning, photocopying, faxing, processing incoming and outgoing mail / couriers;
· Ordering and tracking office supplies, ensuring office kitchens are stocked while maintaining general office cleanliness;
· Supporting onsite and offsite paper reduction and destruction initiatives; and
· Providing vacation, absence and over-flow (ex. trial preparation) coverage and support for legal support staff.
· Efficiently coordinating internal office and furniture moves and assisting the Director of HR and Operations with furniture and equipment purchases; and
· Liasing with building staff and occasional contractors regarding facility and parking needs.
· Supporting external IT provider by maintaining software, hardware and tech equipment inventory, helping with preliminary printer problems and toner refills and escalating to Ricoh as needed;
· Maintaining office library resources such as publications and helping with cataloguing and shelving books; and
· Collaborating with the Director of HR and Operations on occasional, and at times confidential, tasks and projects such as preparation of annual budgets, renovations, training sessions, employee onboarding and departures, charitable campaigns, software demos etc.
Qualifications & Qualities:
· 2+ years’ of previous office experience preferred (professional services experience considered an asset);
· Degree, diploma or certificate in business-related program preferred;
· Proficiency with MS Office Suite required;
· Knowledge on best practices regarding utilization of technology and working with digital records to ensure efficient and risk-averse operations considered an asset;
· Ability to maintain strict confidentiality;
· Outstanding customer service skills to support colleagues and external clients;
· Strong attention to detail;
· Ability to multi-task, prioritize work and manage time effectively;
· Ability to work both independently and in a team environment; and
· Ability to work in fast-paced, deadline-driven environment.
