- Oversees staffing and employee scheduling functions by establishing priorities and coordinating work assignments for Staffing Service clients; supervises staff at designated FH locations by performing duties such as monitoring workflow, scheduling, completing employee performance evaluations, identifying training and orientation requirements and approving leaves of absence and vacation requests.
- Provides recommendations and input into the development and modification of staffing policies, procedures, standards and systems including computerized systems; oversees the implementation of same by establishing time frames for implementation, communicating changes to staff, evaluating effectiveness and providing feedback and recommendations to relevant programs and the Staffing Manager; develops program communication and reporting mechanisms.
- Provides information to the Manager, Staffing Services by responding to inquiries related to staffing services, policies, master rotations and collective agreement requirements; assists the Manager in preparing master rotations.
- Performs staffing duties including preparing and approving staff rotations by extending and transferring information from master rotations and making adjustments to account for relief requirements and scheduling hours, in accordance with applicable staffing policies and provisions of applicable collective agreements; identifies staff shortages and notifies Manager, Staffing Services.
- Approves short-term absences from scheduled shifts, calls in relief staff and processes requests for relief staff coverage by allocating relief staff in accordance with Staffing Service needs and applicable collective agreements.
- Arranges for relief coverage based on Staffing Service requirements, participates on panel interviews and makes providing hiring recommendations to the Manager.
- Maintains and submits timekeeping records to Payroll; responds to inquiries regarding vacation accumulation and pay policies; liaises with relevant departments including Payroll regarding staffing records, confirmation of shifts booked, availability for booking, payroll adjustments and inquiries related to ICBC, WCB, and EI.
- Develops and provides training materials and orientation to new users of computerized staffing system; modifies training materials as required based on user feedback and other changes to staffing systems.
- Provides input to the Manager regarding budgetary requirements, including labour, equipment, systems upgrades and supplies.
- Attend meetings to discuss/address a variety of issues relating to client needs such as staffing, scheduling changes and/or concerns, staff supply/demand, Payroll and system applications processes.
- Prepares reports related to quality indicators/statistics and activities for the Manager, Staffing Services.
- Performs other related duties as assigned.
Grade 12, a minimum of five (5) years' recent, related experience in a computerized staffing environment in the health care industry and one (1) year supervisory experience, or an equivalent combination of education, training and experience.
