Position Specifications: The purpose of the Property Management Assistant position is to assist with the day‐to‐day functions of the management of properties contracted to MCRS Property Management. MCRS Property Management is a rapidly expanding organization offering customized property-specific professional Property Management services to Condominium Boards, Landlords and Tenants throughout Muskoka, Simcoe, Haliburton and Parry Sound. This role is designed to support the Property Managers in all administrative aspects of management.

- Represent MCRS Property Management at events, within the community and at the office in a friendly, professional, and approachable manner.
- Must possess proficient computer skills; knowledge of Microsoft Office required and able to learn various software and virtual meeting platforms (Zoom, Dropbox, Team-Up, Mailchimp, etc.).
- Must possess proficient communication skills – written and verbal.
- Must be bondable (no criminal record).
- Must possess proficient organizational skills along with ability to work in a fast-paced working environment with like-minded team players.
- Must have own transportation and be able to run errands if requested in Huntsville including bank deposits, retrieval of packages, delivery of notices, maintaining bulletin boards, etc.
Administrative Duties
- Running errands locally as needed (mileage log to be maintained for reimbursement).
- Maintain up to date records and all filing, as required.
- Front Office reception support.
- Checking voice mails, relaying messages, returning calls.
- Assist with maintenance of office equipment and ordering of office supplies.
- Maintain office calendar.
- Participate in team office cleaning.
- Maintain key box and key log registry.
- Maintain ongoing Maintenance Lists for properties and follow up with trades as needed.
- Obtain bids for snow removal, lawn maintenance, cleaning, and other trades as needed to support management objectives.
- Drafting letters and/or making phone calls to Residents related to issues in suite or common elements, meeting attendance, and preventative maintenance scheduling as needed.
- Drafting and sending notices to owners.
- Support with monthly preparation and completion of bank deposits as needed.
- Accounting administration support including assisting with opening and closing bank accounts, registering trades for online payments, matching invoices, issuing statements and following up on collections, etc.
- Printing, scanning and general office duties.
Job Type: Permanent
Salary: $28,000.00-$36,000.00 per year
