Key responsibilities:
· Interact with internal and external clientele on a daily basis
· Receiving and directing client phone calls in a professional and friendly manner
· Handle incoming and outgoing courier packages
· Record and distribute incoming correspondence and mail - including cheques
· Assist in preparation of office events
· Disbursement of documents to lawyers and support staff
· Tidy and organize meeting rooms
· Accept various forms of payments
· Maintain bookings and catering; setting up meetings/luncheons for boardrooms
· Ordering and receiving of closed files
· Prepare new employee orientation documents for new staff
· Prepare and update internal database documents
· Other clerical tasks as needed: photocopying, scanning, assisting with special projects as required, etc.
Positions requirements:
· Possess a high school diploma, preferred post-secondary education with a minimum of 2 years in an office setting.
· Proficient Computer skills and knowledge using Microsoft Office programs including Outlook, Word and Excel
· Must be well organized and detail oriented
· Must have excellent problem solving skills
· Have a sense of time and the importance thereof kind of state this below in prioritizing work under pressure?
· Interact with clientele in a professional and friendly manner
· Strong communication skills
· Ability to prioritize and work under pressure
· Ability to work independently and as a team
· Ability to follow instructions with minimal supervision and thrive in a fast-paced professional team environment
· Must have proofreading, writing, spelling and grammar skills.
· Flexible and willing to assist with various clerical tasks and office functions
