The primary role of this position will be responsible for supporting the day-to-day operations of the Chief Service delivery Officer. This role will be responsible for a variety of tasks requiring a high degree of independence of mind, judgment, discretion and confidentiality.
Responsibilities:
  • Assists the Chief Service delivery Officer in the management of the schedule, ensuring that key deadlines are entered into the planning cycle and that meeting and submission deadlines are met;
  • Coordinates appointments and special engagements; schedules meetings, department activities, itineraries and travel arrangements;
  • Organizes meetings; prepares agenda, attends meetings, takes minutes and ensures follow-up on action items;
  • Manages documents effectively, demonstrating a comfort level with various technologies;
  • Organizes events, plans and coordinates multiple presentations, and disseminates information;
  • Handles information, calls and sometimes competing priorities, without sacrificing quality of work;
  • Exercises strong judgment in managing priority of requests and escalating as required for resolution;
  • Handles sensitive and confidential communications and data with tact and discretion;
  • Communicates with all levels of management within and outside of the organization, exercising a high level of professionalism, courtesy and diplomacy;
  • Responsible for the prioritization, distribution and follow-up of incoming correspondence: using a strong command of business writing, writes and proofs replies to general enquiries and drafts replies for more complex items.
Requirements :
  • College diploma in administration and a minimum of eight (8) years of experience as an Administrative Assistant to an executive, preferably in a large organization;
  • Proficient in MS Office (Powerpoint, Excel, Word, Outlook) and knowledge of SharePoint an asset;
  • Ability to seek and learn technologies as necessary;
  • Superior verbal and written communication skills in both official languages;
  • Attention to detail;
  • Able to work on multiple priorities simultaneously;
  • Compliance to defined timelines;
  • Strong organizational, written and verbal communication skills;
  • High level of tact and discretion when handling details of a highly confidential and critical nature.
