Responsibilities:
- Report to the Human Resources and Information Technology Manager, Director of Nursing, and Administrator for ward clerk duties, scheduling, and nursing administrative tasks.
- Perform all ward clerk duties, including maintaining accurate reports and lists, handling correspondence, and preparing labels and requisitions.
- Manage scheduling for PSWs, Registered Staff, Maintenance, Laundry, and Housekeeping, ensuring effective communication and coordination. As well as serving as a scheduling consultant and alternate support resource for all departments.
- Basic understanding of Canadian HR laws and experience collaborating with unions is an asset.
- Handle "call-ins" and contact staff to cover shifts within the guidelines of the collective agreement, while promptly communicating schedule changes to relevant personnel.
- Coordinate with registered staff to arrange escorting of residents to appointments and provide necessary information to relevant departments.
- Assist in answering and screening telephone calls, relaying messages, distributing mail, and greeting visitors professionally.
- Provide tours of the facility and record relevant information as required.
- Support resident families and staff when needed, following proper protocols.
- Adhere to occupational health and safety guidelines and report any hazards or violations.
- Attend staff development programs and mandatory training to ensure resident safety and continuous professional growth.
Qualifications:
- Excellent communication skills and a pleasant demeanor when interacting with the public.
- Demonstrated proficiency in Microsoft Office products and relevant software applications is a must.
- Competent at using technology, quickly learning and applying new skills.
- Experience in long-term care or healthcare administration is preferred.
- Familiarity with scheduling in a healthcare setting is an asset.
- Willingness to stay updated on procedures, regulations, and practices through in-service education and committee participation.
- Strong attention to detail and accuracy.
- Consistently achieves punctual completion of tasks and projects within specified timeframes.
- Ability to work effectively in a busy and distracting environment while maintaining focus.
