The Opportunity

The Facilities Business Partner is responsible for executing the strategic vision of Technical Safety BC’s office standards, fleet and facilities management, and premise security across the province.

Status: Regular Full-Time, Union
Number of Positions: 1
Pay Grade: 15 ($41.56 - $48.12 per hour, 40 hours per week)
Location: Vancouver, BC (This position is considered hybrid. You will be required in the Renfrew office 3 times a week)
Reports to: Leader, Corporate Services

As a Facilities Business Partner, you will:

  • Collaborate with the leader on updating and refreshing department’s strategy and indicators.
  • Work collaboratively with the leader and provide key insights to develop the capital and operating budgets for Facilities and Fleet to ensure cost effective and efficient utilization of resources while meeting the program’s objectives.
  • Be the point of contact for all Facilities and Fleet-related projects.
  • Assist the leader with ensuring compliance of the department’s processes.
  • Identify resolutions to problems related to adherence to Technical Safety BC facilities and fleet security and quality standards.
  • Manage vendor relationships, including janitorial services, landlords and sub-trades, fleet management provider and related vendors, ensuring that all work and service delivery meets Technical Safety BC standards.
  • Research and recommend options for continuous fleet improvement including fleet composition, replacement schedule and future needs.
  • Facilitate fleet inquiries related to repairs, maintenance, insurance, and the collection of Quarterly Reports.
  • Manage and ensure aesthetic and physical alignment of all current and new Facilities with the organization’s culture and needs.
  • Ensure Technical Safety BC’s premise security system (video invigilation and access control), processes and procedures are in place and meet the corporate security. standards. Identify system and process gaps and proposes changes to the Leader, Corporate Services and VP, Finance.
  • Manage office locations, space planning, moves and reconfiguration of current office space to support efficient teamwork, effective delivery and ensure timely maintenance.
  • Work with the leader in finding locations and engaging internal and external stakeholders for office relocations/openings.
  • Research and identify options for new office locations and initiate conversations with landlords regarding lease agreements.
  • Manage lease agreement compliance for office’s entire lifecycle, including office closure where they will engage internal and external stakeholders.
  • Administer and monitor accommodation leasing agreements for all new and existing properties to ensure that terms meet the operational and financial requirements of Technical Safety BC.
  • Manage tenant improvement projects. Meet with internal clients, develop project plans, and work closely with vendors and contractors to manage the project through to completion.
  • Identify furniture needs and aligns to Technical Safety BC facilities standards. Negotiate and coordinate with vendors within established guidelines.
  • Represent Facilities in the business continuity process. Provide insights and recommendation to the Business Continuity lead to ensure successful outcomes if the plan is activated.
  • Support Leader, Corporate Services with departmental projects as needed.
  • Travel between BC regional offices and vendor sites.

Knowledge, Skills & Experience you have:

  • 5 – 7 years’ experience in facilities and asset management or related experience, including negotiation and project management of asset planning, tenant improvements and furnishings
  • Diploma in Business or related field or equivalent. Certificate in Project Management or Facilities Management or related field preferred
  • Knowledge of the principles of asset management and inventory control
  • Proficient in software including Word, Excel, Outlook, and PowerPoint
  • Ability to read and understand construction drawings and space planning (AutoCAD knowledge is an asset)
  • Knowledge of essential terms and conditions for lease agreements
  • Experience with operating a motor vehicle is required
  • Experience managing fleet services is an asset
  • Excellent time management, detail oriented, organizational, and problem-solving skills
  • Exercise a high degree of initiative and judgment
  • Ability to establish and maintain positive effective working relationships with a variety of internal and external stakeholders
  • Ability to prioritize workload and meet deadlines
  • A Valid Class 5 BC Drivers’ License or equivalent (clear driver’s abstract) and a willingness to travel
