The Opportunity:
This position is dynamic and critical to the Club’s day-to-day operations. Reporting to the Director of Finance & Administration, the Accounts Payable Specialist and Administrator is responsible for the meticulous upkeep of the Club’s Accounts Payable records and ensures that they are in alignment with the Club's established policies, guidelines, and protocols. This position also provides valuable administrative support to the membership and management team.
Key Responsibilities:
Accounts Payable:
- Maintain all Accounts Payable files and vendor information in the systems.
- Process vendor invoices according to the Club’s purchasing policy, ensuring accuracy and authorization.
- Process vendor payments via cheque/EFT by required deadlines.
- Process and reconcile monthly credit card and vendor statements.
- Process and submit monthly GST and PST payments.
- Reconcile clearing accounts on a monthly basis.
- Process petty cash and bank runs.
- Follow all aspects of month-end closing activities to meet deadlines.
- Handle special projects, responsibilities and other duties as assigned by Director of Finance & Administration.
Administration:
- Communicate with internal (team members) & external stakeholders (members and vendors) to ensure strong relationships are maintained.
- Act as a point of contact for members and handle/redirect inquiries.
- Monitor office supply inventory levels and place orders as required.
- Assist with the preparation of the Board of Directors meeting materials.
- Assist in the Annual General Meeting and various Committee meeting organization, including calendar invites and logistics.
- Upon request, prepare various forms of correspondence such as letters, presentations, publications, and reports.
- Upon request, manage and arrange the logistics for Senior Leadership Team business travel, event registration and meetings.
- Other tasks as required.
Qualifications:
- Post-secondary degree or diploma in accounting or related field required.
- Minimum 3 years of experience in Accounts Payable.
- Proficiency in the Microsoft Office 365 suite, particularly MS Excel.
- Technologically savvy with an ability to learn new systems.
- Detail oriented, with the ability to process high-volume of data with speed and accuracy.
- Strong external (member and vendor) and internal (team) focus.
- Excellent verbal and written communication skills.
- Ability to regularly interact with staff and management to provide or obtain related information.
- Proven ability to multi-task in a deadline-driven work setting
- Ability to work in a busy office environment with frequent interruptions.
- A self-starter and team player who is willing to offer help to teammates.
- Ability to work independently and problem-solve.
- Strong work ethic, sense of responsibility and confidentiality.
- Experience using the Jonas Club Management systems will be considered an asset.
- Preference will be given to those with previous private club, hospitality, or administration experience.
