You would be responsible for scheduling, work processing, maintaining files, handling front office reception and administration duties (including greeting guests and answering phones), booking travel arrangements, managing accounts payable and accounts receivable, responding to customer inquiries, handling sensitive information and maintain confidentiality as required. To be successful in this position, you must be results oriented and have the demonstrated ability to effectively prioritize workflow.
Front line responsibilities:
- Greet and assist customers and vendors who enter our reception area
- Answer all calls and prepare work orders
- Manage and follow-up on all customer inquiries
- Manage and redirect our company’s general inquires mailbox
Administrative Responsibilities:
- Calendar - own the calendars in entirety (booking and rebooking of all customer jobs), thinking ahead on details
- Reconcile work orders and hours of work for invoicing and internal records
- Accounts Receivable – organize, record and ensure payment of all customer invoices
- Accounts Payable – organize, record all vendor invoices
- Maintain internal price lists
- Assist and support corporate events, meetings and prepare materials as needed
- Manage and monitor social media pages
- Make travel reservations and arrangements for all associates as needed
- Establish and maintain filing systems and materials
Qualifications:
- Post secondary education or diploma
- Minimum of 5 years experience in a similar role
- Proficient English (spoken and written)
- Proficient in using Quickbooks
- Proficient in Microsoft Office Suite - Word and Excel, and keen on learning new systems and applications
- Highly organized, proven attention to accuracy and detail
- Aptitude to prioritize and multi-task
- Able to operate independently and with a high degree of urgency
- Takes initiative, responsibility and proactively seeks opportunities to add value
- Ability to operate standard office equipment
- Working knowledge of VOIP telephone system
- Well developed verbal and written communication skills with the ability to build relationships effectively with people at all levels
- Ability to maintain confidentiality
- Enthusiastic team player
