RESPONSIBILITIES:
As our Administrative assistant directly supporting our construction operations, you will be entrusted with overseeing various critical tasks, including:
- Manage office supplies, equipment, and facilities
- Direct phone calls, emails, and inquiries to the appropriate personnel
- Facilitate communication among team members, clients, and stakeholders
- Create and maintain project files, contracts, and important documents
- Support project managers with documentation, tracking, and reporting
- Coordinate with suppliers, subcontractors, and vendors as needed
- Process and follow up invoices, claims, and purchase orders accurately and timely
- Enter and maintain data in project management and administrative systems
- Provide support to clients by addressing inquiries and ensuring positive interactions
- Maintain organized physical and digital filing systems
- Assist in archiving and retrieving documents as required
- Perform administrative duties such as filing, typing, copying, scanning, etc.
- Manage spreadsheets and lists for current and past projects
- Type proposals in collaboration with management
- Handle tender documentation and subcontractor follow-up and closing
- Assemble maintenance manuals
- Manage shipping and receiving of documents
- Undertake various other tasks as needed
REQUIREMENTS:
To excel in this role, you must:
- Possess a Class 5 valid driver’s license
- Progressive experience in a related field, 5+ years preferable
- Post secondary education in a related field would be an asset
