We are a well-established architectural firm of 25+ years with offices in Ontario, Alberta, British Columbia, and Florida primarily working in the hospitality, retail, commercial and entertainment sectors. Some of our clients include, Tim Hortons, Lululemon, TJX, McDonalds, LEGO, and Disney!
The Position
We’re looking for a highly motivated and organized Administrative Assistant to join our team. The successful candidate will play a key role in supporting various members of our leadership team.
Some of the Things You’ll Work On
- General Administrative Support: provide administrative support to ensure efficient office operations, including scheduling appointments, and handling correspondence.
- Document Management: Organize and maintain physical and digital files, ensuring accuracy and accessibility.
- Meeting Coordination: Schedule and coordinate meetings, both internal and external, and assist in preparing meeting materials.
- Client Communication: Act as a point of contact for clients, vendors, and other stakeholders, providing excellent customer service and addressing inquiries.
- Travel Arrangements: Assist in making travel arrangements and accommodations for leadership team.
- Data Entry: Accurately enter and update data in our systems, databases, and spreadsheets.
You’ll Need to Have
- Proven experience as an Administrative Assistant or in a similar role.
- Proficient in MSOffice.
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Attention to detail and problem-solving skills.
- Ability to maintain confidentiality and handle sensitive information.
