Join our fast-paced team and be a part of a dedicated, inclusive, and welcoming company. The Administration Coordinator is a member of the Program Operations team and contributes to the smooth operations of Road Scholar programs in Canada.
This Kingston-based role includes ongoing day-to-day administrative responsibilities while providing support to fellow team members. This role is critical in ensuring the implementation of standardized, consistent materials for participants and group (tour) leaders on all Routes Adventures and Road Scholar programs. This position requires a person who is exceptionally organized, detail driven, able to juggle multiple tasks and deadlines at once and a polished, professional communicator.
You will…
- Work closely with our Operations team to create, proof and edit online content.
- Process and track participant information forms, waivers and special requests, ensuring the information is submitted on time and escalated when necessary.
- Update supplemental program information, answer customer service requests and communication with vendors
- Other projects and responsibilities as determined by the Manager
- Run a variety of quality monitoring reports
- Generate statistical data for department managers
You need...
- 1+ years related administrative experience.
- Bachelor’s or related college degree preferred
- Experience in a busy office environment required; some experience in the travel industry or educational field preferred
- Ability to meet deadlines in a fast-paced, multi-faceted, ever-changing environment
- Focused, detail oriented; ability to juggle several different tasks simultaneously with minimal supervision
- Polished verbal, phone, written and email communicator; service-oriented approach
- Strong computer systems orientation including Microsoft 365; comfortable in a hands-on complex database environment; good with numbers and data; extremely accurate and detail-oriented; good proof-reader and checker
- Ability to work well with all levels of staff through strong interpersonal and positive, problem-solving skills
- Desire to build knowledge of our program destinations
- Ability to work collaboratively in a multi-functional team environment
- Be self-motivated and results driven.
