What would you be doing?

Reporting to the Partners and working as part of a collaborative Municipal/Non-Profit (MNPO) Accounting team, the role of the Executive Assistant is to provide quality administrative and organizational support, to the Partners and Accountants of the MNPO team. This role will proactively support the team’s day-to-day needs in addition to management of the client and flow of work. Your primary responsibilities would include:

  • Representing the firm in a professional, courteous, and confident manner, in both written and verbal communications, internally and externally
  • Build relationships with clients and be the trusted first line contact with them for:
    • Discussion of schedule
    • Determination of clients’ “readiness”
    • Contacting them to follow up on letters, legal responses etc.
    • Sending packages of statements to clients ahead of council meetings
    • Bulk emails/communications and tracking/filing responses
  • Scheduling audits
    • “Gatekeeper” of the team schedule and ensuring adherence to established timelines and budgets
  • Admin tasks for team:
    • Printing papers and files required for the engagement and proposals
    • Preparing letters
    • Follow up calls with clients
  • Overall management of workflow
  • Importing trial balances into our audit software
  • Coordinate and track scanner equipment for audit teams
  • Responsible for meeting and event logistics including location and/or booking of meeting rooms, meals, equipment, materials, RSVPs, set up conference calls or video conference and travel
  • Prepare expense reports following firm standards and processes
  • Monitor, and review current internal systems, processes and software and make suggestions for building further efficiencies
  • Assist in implementation of efficiency improvements

Who is our ideal candidate?

  • Post-secondary education with administration and accounting acumen.
  • Minimum 3 years of relevant experience in administration and customer service in a fast-paced, collaborative environment
  • Previous experience working in a partnership or professional services firm supporting multiple staff is an asset
  • Experience with CaseWare, Caseview, and Doc.it an asset
  • Ability to engage in exceptional interpersonal relations with clients and team members
  • Demonstrates sound judgement with regards to confidential and sensitive matter
  • Effective organizational skills
  • Advanced knowledge of Office 365 products, specifically Word, Excel, and PowerPoint
  • Able to learn new software products with ease and provide direction
  • Some accounting knowledge: trial balances, g/l accounts, capital continuity schedule, general accounting terms
  • Takes initiative and direction and is a self-directed learner
  • General knowledge of office equipment and basic IT troubleshooting
  • Innovative thinking and adaptable to service needs
  • Accuracy, precision, and acute attention to detail are essential
  • Ensures professionalism, discretion, integrity, and tact in performance of duties
  • Positive can-do attitude and ability to juggle multiple priorities
  • High collaboration with existing team members
  • Excellent time management with adherence to strict legislative deadlines
