Executive Assistant (Temporary position with potentially leading to a permanent position within the company)

Due to an upcoming maternity leave, Anchor has a full-time opportunity for an Executive Assistant. This opportunity is subject to a 12-month contract with the possibility of becoming permanent.

What you will be doing

  • Provide administrative and office support
  • Manage professional and personal scheduling for senior management
  • Coordinate scheduling, calendar management, and information flow for Senior Management
  • Support Senior Management’s weekly priorities for Lodestar
  • Coordinate travel arrangements and provide comprehensive itineraries
  • Distribute and follow up on all correspondence generated by Senior Management
  • Coordinate company meetings and social functions
  • Arrange and attend meetings, taking minutes and preparing agendas
  • Act as a professional liaison for Senior Management on projects
  • Complete projects assigned by Senior Management
  • Attend meetings, take minutes, and prepare agendas for staff meetings
  • Maintain the electronic filing system
  • Ensure document signing, e.g., contracts and legal documents
  • Prepare KPI reports
  • Manage social media accounts (Instagram, Facebook, and LinkedIn)
  • Maintain professionalism and strict confidentiality with all materials.

What you will bring to the position:

  • Community college certificate or diploma, or equivalent combination of experience
  • At least two years’ experience in an administrative role
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, and Outlook)
  • Communication skills
  • Organizational skills
  • Attention to detail
  • Interpersonal skills
  • Time management skills.
