Job description

The Executive Assistant/Bookkeeper responsibilities and skill requirements as follows:

40% Executive Assistant

  • Communicate with Contractors/Suppliers/Office Staff regarding Up Coming Projects and Requirements
  • PJC Project Setups
  • Coordinate and Assist with Applications (Employee and Construction)
  • Written Quotations
  • Assist with HR Duties and Employee On Boarding
  • Assist with Policies and Producers

60% Bookkeeping

  • Ability to use Various Financial Transactions such as Accounts Payable and Accounts Receivable
  • General Ledger Reconciliations including Bank Accounts, Credit Cards and Clearing Accounts
  • Accounts Receivable
  • Accounts Payable
  • Invoicing Preparation
  • Collections
  • Payroll Administration and Reconciliation
  • Understanding, Preparing and Remitting HST, Source Deductions, WSIB, corporate tax and EHT
  • Preparing Reports for Management
  • Coordinating with and assisting External Accountants

Preferred Skills

  • Good Analytical and Problem-Solving Skills, Accuracy and Attention to Detail
  • Forward Thinker
  • Strong Organizational Skills
  • Proficiency with Excel and MS Word
  • Excellent Computer Skills and Ability to Adapt to New Software Systems
  • Strong English Written and Oral Communication and Interpersonal Skills
  • Work on Multiple Projects while adhering to Tight Deadlines
  • Quick and Accurate Data Entry
  • Communicate Complex Financial Data with Other Members
  • Familiarity with the General Principles of Accounting
  • Strong Understanding of Math and Numbers

Preferred Experience

  • Bookkeeping Experience: 5 -10 years
  • Post-Secondary Accreditation in Accounting or Bookkeeping
  • Experience with Sage 300 Accounting Program (Preferred)
  • Experience with Construction Industry (Preferred)
  • Competitive Wages based on Experience

Must be legally entitled to work in Canada (required)
