What is the opportunity?
This is an opportunity to support a Co-Head of US Investment Banking within Global Investment Bank by performing advanced, diversified, and confidential administrative duties using a high degree of judgement, confidentiality, and discretion.
What will you do?
Act as the point of contact between the Co-head of US GIB and potentially other Senior Leaders and Managing Directors by managing calendars for internal and external meetings.
Collaborate with fellow Co-Head and his Executive Assistant on coordinating schedules, meetings, travel, and other arrangements as needed.
Coordinate with other admins across the bank to schedule Global Group Head meetings.
Choose and coordinate all venues for events hosted by this executive and negotiating event contracts, ensuring approvals are obtained and (day of) physically arrive at event and review venues as needed.
Responsible for arranging all domestic and international travel arrangements and providing real time support to manage changes or requests.
Respond to internal and external meeting requests on behalf of this executive. “Holds the pen on the diary” (Important meetings – committee meetings, regulatory meetings, etc)
Prepare business related materials for this executive be it correspondence, memoranda, print reports, client analysis, call reports, etc.
Data entry into systems as needed.
Manages ad-hoc projects and priorities under strict timelines and guidelines .
Proactively identify operational risks/control deficiencies in the business and escalate potential risk loss events, control deficiencies and risks that you identify.
Manage and enter expenses for this executive and/or any other MDs that are required.
Availability for off hour support on an as needed basis.
Report Directly to this Co-Head within Global Investment Banking
What do you need to succeed?
4 to 8 years of experience in a similar role supporting executives.
Expert knowledge of Microsoft Office
Advanced clerical skills, such as typing corporate documents, filing, faxing, answering phones
Ability to Comprehend and put into practice organization policies and practices
Strong oral and written communication skills, with high level of professionalism.
Ability to prioritize multiple administrative tasks in a high paced, stressful environment
Ability to take initiative, function independently, and work as a team player
Excellent interpersonal skills with the ability to work with all levels of management and staff
Ability to prioritize, organize and multi-task
Position requires a high degree of confidentiality and discretion
High ethics and integrity

The good-faith expected salary range for the above position is $90,000- $115,000 depending on factors including but not limited to the candidate’s experience, skills, registration status; market conditions; and business needs. This salary range does not include other elements of total compensation, including a discretionary bonus and benefits such as a 401(k) program with company-matching contributions; health, dental, vision, life and disability insurance; and paid time-off plan.
