Position: Executive Assistant (hybrid)
Position Overview:
We are looking for an experienced Executive Assistant to provide high-level administrative support to our partners. The ideal candidate will be proactive, resourceful, and capable of managing a wide range of responsibilities with discretion and professionalism. This role requires a self-starter with excellent communication and organizational skills.
This is a hybrid position for applicants wishing to work in a office / remote environment and gain experience in the real estate industry.
The central goals for this position are:
- Manage and coordinate executive calendars, including scheduling meetings, appointments.
- Act as a liaison between executives and clients, maintaining a high level of professionalism and confidentiality.
- Learn about the real estate industry and many different property types
- Handle incoming and outgoing communications on behalf of executives, ensuring timely and appropriate responses.
- Assist with project management, tracking action items, and following up on tasks to ensure deadlines are met.

Possible Tasks
The most important thing is that we need a highly punctual and hard-working individual who is interested in assisting the team to find efficient ways to maximize their time and energy. Here are a few tasks we imagine will help with our central goal:
- Answer all incoming and outgoing client phone calls
- Inbox, calendar, and task management
- Invoicing and client relations
- Managing administrative systems and documenting processes
- Learning and executing research tasks
- Helping pull background for different property types
- Research, consolidate and interpret industry and real estate property data
- Follow overall market news and evaluate market data to help assess short and long-term trends
Traits we’re looking for:
- Strong understanding of Microsoft Excel and Word
- Experience in a fast-paced environment requiring a high degree of sensitivity, detail- orientation, responsiveness and anticipation
- Organized with the ability to prioritize workflow and multi-task
- Extremely punctual and hard-working
- Great at communicating with clients and others outside the organization via email and phone
- Excellent writing and copy editing skills
- A quick thinker and doer, who can swiftly produce high quality work
- Resourceful and adaptable, able to understand problems and develop solutions independently
- Fast learner
- Previous experience in a related role (e.g. Assistant, Office Manager), or in the real estate industry, is a great plus!
