Position Overview: Seeking an experienced Jnr Personal Assistant for a family based in Toronto. Previous experience working as a Personal Assistant is required. The successful applicant will provide administrative support to the principals as it relates to their personal lives and the coordination of household affairs related to properties in Toronto, Muskoka and Florida. The ideal individual will have the ability to exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. This is a full-time remote position with some requirement to be on site in Toronto from time to time.
Primary Responsibilities:
- Manage sensitive matters with a high level of confidentiality and discretion
- Prepare Word, Excel, reports, and other documents in support of objectives
- Arrange travel and accommodations for principals as required
- Track Expenses and pay bills as required with authorization from Principal
- Vendor and Contractor coordination on regular seasonal, maintenance, special projects/as required in conjunction with Property managers where applicable
- Appropriate record keeping, including the management of a comprehensive admin and project related digital filing system utilizing Principal accessible Dropbox or Google Drive and filing hard copies as required
- Excellent communication and time management skills; proven ability to meet deadlines
- Maintain and update database of contacts for each property
- Maintain and update database of contacts for Principals
- Ability to function well in a non-structured environment with little supervision
- Performs additional duties as assigned by Principals
- Trade and document coordination related to each property
- Works in conjunction with all property managers as required
- Be responsive to emails/texts/phone calls, with contact outside normal business hours from time to time as required
- Represent the Principals in a positive light through great follow-through skills and sound judgment
- Conserve the Principals time by reading, researching, collecting and analyzing information as needed, in advance
Applicant Qualities:
- Bachelor’s degree an asset
- Minimum 5 years of related experience required working as an assistant or a Personal Assistant
- Tech Savvy and Advanced Proficiency in Microsoft Office (Outlook, Word, Excel), Dropbox or Google Docs
- Ability to communicate effectively and professionally
- Must possess excellent time management skills, be punctual, courteous, possess keen attention to detail and follow through on all projects assigned
- Polished and professional presentation
- Must maintain privacy and confidentiality at all times, exercise diplomacy, discretion and respect appropriate boundaries
- Excellent communication skills and fluent in English – oral and written
- Must have valid driver’s license with clean driving record
- Must be legally entitled to work in Canada

Salary: From $60,000.00 per year
