Job Title: Office Manager
Location: Edmonton, Alberta
Full-Time Permanent, Onsite – In Office
AutoCanada, one of the country’s largest multi-brand automotive groups, is NOW HIRING an Office Manager for our home office in Edmonton, Alberta. The right candidate for this role will be extremely well organized, computer literate with Microsoft Office and other internet-based software solutions, and will accompany the above-mentioned skills with a welcoming, professional demeanor. Fantastic at communicating with executives and entry-level associates alike, you will be the friendly face of the People & Culture Team acting as an AutoCanada brand champion while tending to the requests of our internal business partners and newly hired associates.
Position Overview:
Job Responsibilities:
- Greet visitors in a professional and friendly manner.
- Answer and direct phone calls to the appropriate parties.
- Handle incoming and outgoing mail and packages.
- Maintain a tidy and welcoming reception area.
- Manage inventory of kitchen supplies, including snacks, beverages, and utensils.
- Keep the kitchen area clean, organized, and stocked.
- Coordinate vending, and beverage machines.
- Enforce kitchen cleanliness and hygiene standards.
- Ensure boardrooms are reset after each meeting, chairs are pushed in, dishes removed, and spills cleaned.
Office Management
- Liaise with building management for any facilities-related issues.
- Coordinate office closures and communication for facility related issues.
- Assist with office layout and workspace arrangements.
- Provide office access for new hires and visitors as determined by business needs.
Administration Support
- Monitor and replenish office supplies as needed.
- Coordinate maintenance and repairs for office equipment.
- Ensure all office equipment is functioning properly.
- Order business cards and name plaques as required for home office employees.
- Monthly and quarterly reporting
- Distribute Fax line messages.
- Distribute emails from info@autocan.ca as appropriate.
Event Coordination
- Assist in planning and organizing company events and celebrations through active leadership on the AutoCanada Social Committee. Including but not limited to:
- TGIF’s
- Holiday celebrations
- Coordinate logistics for meetings, conferences, and presentations as required.
Requirements:
- Proven experience in office management support roles
- 3-5 years’ experience in administration or office management
- Proficiency in Microsoft Excel, Microsoft Word, Microsoft Outlook, and Microsoft Power-Point
- Excellent communication and interpersonal skills
- Strong organizational and multitasking abilities
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Ability to work independently and prioritize tasks effectively
- Attention to detail and problem-solving skills
- Knowledge of basic office equipment and facilities management
- Customer service-oriented mindset
- Able to communicate effectively with a wide range of clients, suppliers and colleagues
- Communicate effectively with team members, clients, and vendors
- Always maintain a professional and courteous demeanor
- Respond to inquiries in a timely and accurate manner
Work Conditions:
- In office Monday to Friday on a 37.5-hour work week
- Overtime as required
- Lifting up to 50 lbs periodically
