Job description

Program Coordinator

This role would have you developing, implementing, and managing programs to achieve ICTC’s organizational goals and priorities as well as defined program deliverables including some of the day-to-day program administration. The Coordinator will provide input into the development of program and project plans and will coordinate implementation. This role requires initiative with the ability to be outbound promoting and raising demand for program and organizational activities. This role also builds relationships with key stakeholders in the industry and in the community/region to support successful implementation of project(s)/program(s).


What will you be doing?


Planning, Tracking and Reporting

  • Assist with designing, developing, adjusting, and controlling the project schedule/plans to meet deliverable requirements ensuring that budgets are tracked and accounted for.
  • Track progress against program and project plans and specific targets, deliverables, and activities and budgets; in-kind activity and calculations, proactively identifying any areas where there is a risk of not meeting milestone deadlines or targets and providing a revised project plan to meet the deadlines.
  • Draft and implement project schedules, monitoring work plans, and calendars of events and meetings.
  • Develop project and program evaluation plans and measurements for success and conduct client follow-up as part of evaluation.
  • Develop and manage budget processes to ensure financially responsible practices including maintaining budget and reconciling project GLs against project budgets as applicable.
  • Lead client support and referral processes.
  • Review ICTC activities and stay updated on Canada’s ICT sector to support clients.
  • Other duties as assigned by their manager.

Business Development

  • Create project proposals to attract and grow business/project plans that align with ICTC goals.
  • Spearhead outreach initiatives by initiating contacts with industry collaborators.
  • Recommend cost-effective strategies for ICTC programs.
  • Explore opportunities to increase current business and/or support new ventures and partnerships and capture concepts to enhance program delivery.

Relationship Development & Collaboration

  • Identify partners and establishing relationships to build a network of contacts to address ICTC’s needs.
  • Handle inquiries and communicating with clients.
  • Facilitate outreach endeavours and contributes to coordination tasks.
  • Create and/or support the creation of partnership or sponsorship agreements to secure buy-in and increase programming membership.
  • Ensure close cooperation with program partners to create a consistently high level of service delivery.
  • Liaise with service providers and external stakeholders for Work Placements and tracking
  • Evaluate the extent to which partnership objectives have been achieved and reporting to leadership.
  • Stay informed of the network of organizations, agencies, and associations that can assist IT clients and keep ICTC informed.
  • Partner with internal staff to collaborate on ICTC activities, share information, provide updates, and engage staff and others for input and support.
  • Coordinate with all project staff (ICTC and non-ICTC) to ensure proper dissemination of accurate and centralized information to clients.
  • Collaborate with the program team and external partners for the recruitment of participants (internationally educated IT clients / ICT employers) to take part in ICTC activities and programs.
  • Attend events and/or focus groups to present information, network, and collect information.

Consultant & Contract Coordination

  • Oversee and coordinate the beginning-to-end contract management process and documents all for auditing purposes; edits to ensure accuracy and readability.
  • Research and create contractor lists to obtain value for money, requesting quotes on pricing and timing of deliverables, categorizing quotes according to pre-determined criteria, and attaining contract evaluators where applicable to support contractor selection.
  • Create draft contracts and agreements, to comply with laws, and regulations for approval by supervisor and processes invoice schedule according to contract specifications.
  • Track contractor deliverables to ensure timeliness and integrity of delivery and escalate any contractor issues to management for resolution.

Communications & Event Planning

  • Develop and execute communication plans and outreach pieces to share our message, information, and knowledge with stakeholders including but not limited to program
  • Communications, newsletters, web content.
  • Plan presentations, events, workshops, and working sessions to influence the market and meet ICTC’s business objectives.
  • Overseeing logistics for travel and meetings/events locations.
  • Prepare dissemination of materials and messages to internal and external stakeholders through applicable channels.
  • Connect with design, publication, translation firms, etc. to support production of materials; review products received to ensure specifications are met and delivered to a high quality.

Do you have the following knowledge?

  • Post-secondary graduate in Marketing, Communications, Social Sciences, STEM, Business, Education, or a related field.
  • 2+ years’ experience in working directly with employers, recruitment, or similar profession and providing coordination for a program or project, with demonstrated success in setting and achieving program targets.
  • Program management
  • Proven skills in sourcing - using a variety of methods, e.g., networking, referrals, recruitment, internet job postings, database searches, and cold calling.

  • Staffing or related career development experience preferred, customer service, sales.
  • Some knowledge of evaluation & tracking methods
  • Knowledge of project management principles and methodology
  • Understanding of the ICT industry, ICT occupations, and technical jargon
  • Business networks/contacts across Canada
  • Knowledge of business networking principles
  • Demonstrated success conducting presentations and/or facilitating workshops.

  • Remote, Edmonton and Calgary, Alberta

Term:
