POSITION SUMMARY:
The Service Writer is responsible for the timely placement of purchase orders, work orders and delivery of materials to meet the needs of daily operations. The Service Writer will also be responsible for some service writing and administrative responsibilities, such as filling out and completing work orders. The position also encompasses working with multi-organizational groups within the business to ensure the fleet maintenance records are maintained to an Alberta Carrier Services Standard.
JOB DUTIES & RESPONSIBILITIES:
The duties and responsibilities that are expected to be performed by a competent Service Writer are the following:
- Verifies purchase requisitions by comparing items requested to the master inventory list; clarifying unclear items; recommending alternatives.
- Work alongside the parts technician and mechanics to assist where is needed.
- Assists with inventory and cycle counts ensuring the necessary ongoing equipment and supplies are in stock continually and forecasts inventory needs (i.e. implements minimum and maximum for each item)
- Complete work orders and other administrative duties.
- Participates in relevant business operations planning.
- May operate non-powered and powered material handling equipment such as a ladder.
- Continually works toward completion of projects (i.e. renumbering parts to be more effective and labeling parts room)
- In coordination with the Shop Foreman plan, organize activities related to, servicing, operation, maintenance, and repair of fleet vehicles.
- Attend a variety of meetings.
- Ensure trip inspection documents are filed to an auditable standard.
- Aids the Maintenance group in ensuring fleet unit files are maintained and all documents are auditable.
- Registers and insures/cancels all equipment when required.
- Updates the online drive & fleet database to ensure registrations and vehicle information are up to date and current.
- Ensures the finance group receives all documents pertaining to asset transfers, disposals and new units through the online SMS system.
- Tracks the quarterly or annual registrations and ensures all lists are accurate on renewal.
- Ensures Owner Operator Agreements are correct and corresponds with the Human Resources group for changes if required.
- Maintains the Fleet Drive and ensures all unit files and the drive are correct to the company standards.
- Tracks IFTA monthly and inserts all KM and works inter-department to complete the submission.
- Works with the Operations group to update the systems to ensure units are functioning and new drivers are entered into the system including maintaining reports required for review of driver behaviors.
- Audits logbooks when required.
- Eliminates all materials and prepares records for filing for audit purposes.

QUALIFICATIONS:
- 3-5 years of directly related experience holding a Journeyman Parts Technician or apprenticeship certification an asset but not required.
- Prior experience as a Service Writer.
- Superior leadership skills and strong interpersonal skills.
- Strong written and verbal skills to communicate with all levels of the organization.
- Demonstrated ability to share skills and knowledge with others.
- Excellent analytical and problem-solving skills.
- Strong knowledge of Microsoft Office products, including Excel, Word, and inventory management systems.
EXPECTED HOURS OF WORK:
- This is a full-time hourly position. Standard hours of work may vary but will follow a shift schedule of 8 hours per day, Monday to Friday. Overtime hours may be required on occasion.
