VetCircle is looking for an Administrative Coordinator to join our growing team in the Greater Toronto Area!
VetCircle is a company that supports independently-owned veterinary hospitals through its VetCircle Community membership which offers management support, discounted supplies/services/equipment, and affordable wet labs, workshops, and webinars. On top of that, we also provide hands-on in-hospital training and management services through our talented Operations team! Our mission is to provide a 360-degree support system for owners and managers in the Canadian veterinary industry.
Job Overview:
The Administrative Coordinator at VetCircle will play a pivotal role in organizing, planning, communicating and executing services and events for our member practices.
Responsibilities and Duties:
- Organize and automate administrative processes
- Engage in client communication via phone calls, texting, and emails
- Develop marketing strategies, including newsletters, event invitations, and informational collateral
- Create promotional materials for brand awareness
- Develop SOPs, training documents, and resources for members
- Compile individual member purchasing information for quarterly business reviews for each member hospital
- Provide support for the community hotline and equipment procurement services
- Educate independently owned vet hospitals about VetCircle's membership and in-hospital operational services
- Build and maintain relationships with members, gathering feedback for continuous improvement
- Collaborate with COO and Community Director on client communications, wet labs, events, workshops, and webinars
- Secure sponsorships for events to maintain affordable registration fees for members
- Assist in organizing wet labs, workshops, webinars, and conferences, including invitations, registrations, and follow-ups
- Being present at all conferences and events (including evening and weekend events)
- Conduct on-site visits to veterinary hospitals for assessments, meetings and outreach support
- Stay updated on the latest industry technology, services, medicine, and equipment
Qualifications:
- Minimum 2 years of veterinary practice administrative/client care experience
- 2 years in an administrative/client-facing position
- Project management skills with exceptional organizational and planning abilities
- Event planning and execution experience
- Strong communication skills (spoken and written)
- Technology-savvy with a willingness to learn
- Experience in improving administrative and process efficiencies
- Living in the Greater Toronto Area (GTA)
