As a Wellness Medical Administrator, you will greet and coordinate the flow of patients and perform medical administrative tasks. Primary duties include:
Greet, and check in personnel and candidates for comprehensive occupational annual medical and fitness assessments and optional psychological assessments.
Triage patient questions and concerns, directing them to the appropriate professionals within or outside of the Wellness Centre.
Administer various medical forms.
Send medical referral letters and book appointments with medical specialists.
Follow up on pending lab results and referrals and maintain a detailed spreadsheet for tracking purposes.
Track recalls for various testing.
Coordinate and schedule fitness, medical and psychological assessments for new hires and medical assessments for specialty positions.
Ensure patient files are kept confidential, current, organized, and stored with proper retention.
Compile and compare various statistical information on a monthly and annual basis.
Inform patients of times for external medical professional appointments and various dietary and prescription restrictions related to upcoming appointments.
Qualifications
A Medical Office Administrator Diploma and at least 3 years of experience in a medical/health care setting is required.
Intermediate proficiency in Microsoft Office (Excel, Word, Outlook) and experience with electronic medical software is required.Experience with Telus PS Suite is preferred.
An understanding of the regulatory requirements including the Freedom of Information and Protection of Privacy Act (FOIP), Health Information Act (HIA) for secure and confidential patient information.
Knowledge of medical office procedures, medical terminology and medical accounting/billing, patient scheduling and supporting professional staff in collecting, accessing and transmitting health information.
Case management knowledge and training will be considered an asset.
Excellent communication and organization skills with a strong customer focus.
Ability to problem solve and use good judgement skills to make decisions that require some analysis and interpretation of critical medical information.

Days of Work: This position will provide on-call coverage when required Tuesday to Friday between 7:30am-4:30pm.
Hours of work: On-call hours will vary based on operational requirements.
