Job Description:
In the role of Administrative and Accounting Coordinator, you will be responsible for AR/AP functions as well as payroll processing as well as general office administration duties including reception, scheduling, and communications. We thrive as an organization by working together to create fun, interactive, educational, and supportive environments for our clients and we want someone who can assist our team with those deliverables at the Centre in Fort Macleod.
Accounting and Payroll Responsibilities (~25%)
- Process accounts payable and accounts receivable transactions accurately and in a timely manner
- Assist the Executive Director in preparation of monthly Financial/Budget/Account reports to the Board of Directors
- Ensure compliance with accounting policies and procedures
- Develop safeguards, processes, policies, and procedures with assistance from the Executive Director and designated third party accounting firm
- Coordinate and process initial payroll processing, ensuring accuracy and adherence to relevant legislation and internal policies
- Process payroll inquires from the Executive Director
- Maintain accurate and organized financial and administrative records
- Assist in the preparation of documents for audits and compliance purposes
Administrative Responsibilities (~75%)
- Provide general administrative support to the office including filing, electronic data entry, and maintaining supplies
- Assist in the organization and scheduling of meetings, appointment, and travel arrangements for Programmers and the Executive Director
- Act as the first point of contact (phone or in-person) for visitors to the Centre during working hours
- Manage reception duties with professionalism
- Open and close the Centre safely and in accordance with designated procedures in coordination with the Executive Director and Programming team
- Manage external communications including emails, phone calls, and correspondence with Kids First Family Centre Spokes, clients, vendors and the general public
- Collaborate with team members to ensure effective internal and external weekly communications within the community of Fort Macleod and surrounding areas
- Support programmers in the Centre including but not limited to assisting with programs, scheduling, communication, set up, clean up, working with the public, coordinating vendors, etc.
- Provide administrative support to the Executive Director including answering phones, scheduling, document preparation, taking descriptive meeting minutes, internal and external communications.
Qualifications
- Diploma in Business Administration, Accounting or a related field is required or 3 years of proven working experience in this industry
- Proven experience in administrative roles with exposure to accounting responsibilities (AR/AP, Payroll, etc.)
- Proficiency in relevant software including the Microsoft Office Suite
- Strong organizational and multitasking abilities
- Excellent communication skills
- Excellent interpersonal skills including the ability to effectively communicate with caregivers and youth
