The Administrative Assistant provides administrative support to the Corps Officer(s) of Grand Falls Citadel.
KEY RESPONSIBILITIES:
- Greets visitors and assists as appropriate
- Maintains confidentiality
- Answers telephone calls and relays messages
- Receives and sends e-mail, fax and letter correspondence
- Prepares church bulletins, calendars, posters and other publications
- Files electronic and hard copy documents, maintaining privacy standards
- Photocopies, scans, and distributes documents as requested
- Receives parcels and mail, opening according to policy and procedure, and distributes to the appropriate person(s)
- Uses word processing, calculations spreadsheet and other software for creation and editing of documents, maintaining accuracy and quality
- Scans and e-mails invoices and other finance forms for processing
- Processes corporate Visa and Element fleet card reconciliations, and personal reimbursement claims, via Business World software
- Receives, receipts and secures donations according to policy and procedure
- Issues petty cash for purchases or reimbursements, replenishes as needed, processes reconciliation, and maintains necessary documentation
- Collects and records statistics in SAMIS on a monthly basis
- Maintains all hard copy and electronic (Shelby) church membership rolls and other records/registers, including submission of all forms associated with membership and processing transfers
- Maintains security of hard copy documents and monthly back-up of computer files
- Prepares certificates and forms (e.g. dedications, marriages, etc.), and documentation for meetings and reports
- Schedules meetings, visitations and appointments at Corps Officer(s) request
- Orders cartridge and other contribution envelopes and prepares for distribution
- Orders all office supplies, ensuring an adequate supply is kept on-hand; orders other supplies as needed (e.g. kitchen)
- Assists with worship presentations (e.g. Songshow, PowerPoint) as requested
- Arranges maintenance of office equipment
- Performs other duties as assigned
TERM: Temporary; Sick leave placement; 15 hours per week
QUALIFICATIONS AND EDUCATION REQUIREMENTS:
- Have the ability to work within a Christian faith-based setting and uphold the mission, vision and values of The Salvation Army
- Have post-secondary education in the office and clerical field
- Have prior experience as an Administrative Assistant
- Be willing to learn a variety of software systems
- Possess good oral, written and interpersonal communication skills
- Be able to maintain a high standard of confidentiality and willingness to sign a confidentiality statement
- Be highly self-motivated with the ability to work independently
- Possess excellent computer skills and be proficient in the use of Microsoft Windows and Office products including Word, Excel, Publisher and Excel
- Obtain a clean Criminal Police/Vulnerable Sector Check, and clearance through The Salvation Army’s Internal Abuse Registry and be willing to sign The Salvation Army Code of Conduct Receipt & Acknowledgement Form
