As part of our Shared Services group, comprised of Finance, Marketing, Communications, Human Resources, Commercial, Legal and Facilities, we support the business achieve their goals through a range of strong technical capabilities. We ensure delivery of services through the skills of our people, methodologies, and systems.
We are actively seeking to hire an Administrative Assistant to join our St. John’s, NL office with a minimum of 5 years’ experience in the administration industry. The candidate will perform secretarial, receptionist and administrative duties to ensure the smooth functioning of the office and project.
Responsibilities include but are not limited to:
-Welcoming clients / visitors to Hatch;
-Ensuring visitors sign in as per specific office policy;
-Answering the phone cheerfully and professionally;
-Prioritizing: ensuring that reception desk and switchboard are covered;
-Receiving and Shipping of Packages (via Fedex or locally);
-Checking fax machine;
-Ordering of office supplies, including coffee / kitchen supplies;
-Booking of boardrooms;
-Travel arrangements;
-Check and distribute mail accordingly;
-Main contact for front door;
-Formatting general type documents (letters, memos, minutes of meeting etc.);
-Formatting of technical documents (reports, specifications etc.) using DocShare;
-Compiling Documents in PDF format;
-Assisting Project Support Coordinators with project work, if required;
-File retrieval and storage of old documents from off-site storage.
What we are looking for:
-College training or equivalent experience;
-Minimum of 5 years administrative experience in a professional office environment;
-Intermediate to advanced computer skills, including MS Office;
-Excellent coordination and planning skills;
-Excellent verbal and written communication skills;
-Self-motivation, initiative and the ability to work effectively with all organizational levels;
-Quick learner;
-Well organized with good interpersonal skills;
-Detail oriented individual who takes pride in their work and ensures work is always completed to the highest degree of accuracy;
-Experience with SAP would be considered an asset;
-Can easily prioritize tasks, adapt to change, and work very well under pressure.
