Our reputable client is looking to bring on a Conference & Program Coordinator to join efforts with their existing team, specifically helping to plan and coordinate speaker engagements on a high-volume, national level.

This person will be an exceptional relationship builder, with excellent communication and interpersonal skills, a proven ability to remain calm under pressure, and possess an adaptable, solution-based mindset.

Duties and Responsibilities: 

The key job functions are:

  • Cultivating relationships with executive leaders in order to correctly source out keynote speakers in line with areas of interest and potential professional growth opportunities for members
  • Schedule keynote speakers and work closely with the executive leaders to ensure the appropriate allocation of speakers/resources as per each individual/groups specifications, while adhering to budget
  • Continuously seek out new resources and opportunities for professional development to expand the member experience
  • Assisting to create and organize meeting materials
  • Coordinating travel arrangements when needed
  • Other duties as assigned

Education:

  • Post-secondary education in a related field is preferred

Qualifications: 

  • Bilingual (English/French) considered a strong asset
  • Proficient at communicating/building relationships with a wide range of people and organizations at all levels
  • Proficient in MS 365 (specifically Excel) and CRM databases (ideally Microsoft Dynamics)

Experience:

  • 5 years of progressive experience in a relevant field (post-secondary institutions, tourism, education, learning & development, etc.)
  • Executive assistant and/or corporate event planning experience considered a strong asset

  • Confident, self-motivated and professional
  • Natural relationship builder
  • Excellent communication and interpersonal skills
  • Ability to work collaboratively with stakeholders and executives
  • Proactive, able to solve problems before they arise
  • High attention to detail and organization
  • Flexible and adaptable in nature, able to shift priorities at any given time and manage multiple conflicting priorities
  • Level-headed, able to remain calm under pressure and flourish in a fast-paced environment
  • Problem solver, loves being challenged and seeking out solutions
  • Tech savvy and able to learn new softwares with ease

Base Salary: $60,000 per year

  • Comprehensive benefits package including flex days
  • 3 weeks vacation

Work Hours:

  • Full time hours
  • Flexible work hours (Monday – Friday)

Remote Work:

  • This position is not remote and required to be on-site.

  • This opportunity does not include relocation. It will be the responsibility of the candidate should relocation be required.
