Description:
We're in search of an Executive Assistant to join our painting company, someone who not only possesses technical proficiency but exudes confidence in handling diverse responsibilities. Collaborating closely with the company's owners, you'll extend support across the entire team, playing a crucial role in shaping efficient processes and ensuring top-notch quality for our clients. Your organizational acumen, effective communication, and leadership will leave a lasting impact on our painting team. Responsibilities:
· Efficiently manage daily office operations, including but not limited to administrative tasks, supplies management, and facility maintenance.
· Foster a positive and collaborative work environment by facilitating effective communication among team members.
· Integrate and streamline processes to enhance office efficiency and productivity.
· Coordinate meetings and events, ensuring all logistics are well-planned and executed.
· Act as a liaison between different departments, promoting cross-functional collaboration.
· Implement and maintain organizational policies to uphold a harmonious work environment.
· Proactively identify areas for improvement and propose innovative solutions to enhance office processes
Managerial:
· Participate/facilitate the performance management of DR Painting team, including but not limited to; best practices, training, customer service, performance issues, and customer feedback/communication.
· Create, Review, and adapt team schedules on a priority basis ongoing.
Logistical:
· Connect and work with clients to answer questions and concerns with a sense of urgency.
· The ability to pivot and prioritize.
· Review project information, communicate and organize projects details, and ensure the onsite leads have all necessary information and assets to complete their projects.
· Support, assist team, and maintain CRM system as needed.
· Review, respond, and delegate various emails.
· Create and distribute memos, letters, and emails to team, customers, and vendors.
· Maintain and organize computer and manual filing systems.
Project Management:
· Prepare painting quotes for ownership approval.
· Deliver and pick up supplies and materials as needed.
· Answer phones, take messages, vet sales calls for owner.
· *Other tasks as needed and assigned
Knowledge, Skills & Experience:
· Extremely coinvent with technology is required
· Bookkeeping experience is a required
· Photography skills is preferred
· Paint store management would be an asset but not required
· Minimum of 2 years Management experience (non specific) is required
· A certificate or diploma in Office Administration/Management is preferred
· Strong knowledge of office management systems and procedures, including but not limited to; Google, CRM systems, Social Media applications, Word, and Excel
· Excellent communication skills both written and verbal
· Efficient time management with an ability to prioritize customers and tasks based on deadlines and value
· Strong organizational skills with the ability to proactively start projects and tasks
· Exceptional interpersonal skills
· Ability to work under pressure, both independently and as part of a team
· Strong problem solving skills with a priority on relationships
· Ability to occasionally lift 50 lbs
Qualifications:
● Proven experience as an Executive assistant or in a similar role.
● Strong organizational and multitasking abilities.
● Excellent communication and interpersonal skills.
● Ability to adapt to changing priorities in a fast-paced environment.
● Proficiency in office software and systems.
● Demonstrated ability to integrate and optimize office processes
