Our firm is looking to add a meticulous, highly organized and client-oriented individual to act as our firm/office manager and to provide administrative support to our team. The Executive Assistant/Firm Manager will provide day-to-day support to our founding partner, will manage and drive administrative processes, and will take the lead on client interactions.
The ideal candidate is a highly organized self-starter, looking for a growth opportunity in a flexible working environment. This is an excellent opportunity to build your administrative and client management skillset and grow into a firm management role.
Key responsibilities and tasks
- Managing corresponding with clients (pre-screening for initial consultations, follow-ups, answering questions, etc.)
- Managing the monthly invoicing and billing process, including verifying all time entries, creating invoices and sending them out
- Preparing weekly reports of client billings and outstanding receivables, and following-up with clients on outstanding payments
- General administrative support for the managing partner (e.g., managing calendars, preparing weekly review meetings, filing, etc.)
- Answering phone calls to our general office number during office hours on weekdays (~5 hours per week)
- Developing and building administrative processes for the firm (e.g., client onboarding, client offboarding, file reviews, document management, etc.)
- Depending on skills, potential to manage and drive customer relationship and marketing activities (e.g., content creation / blog posts / social media, website management, CRM)
Qualifications
- Proficient in Microsoft Outlook, Word, Excel
- Extremely organized and able to ruthlessly prioritize in a complex environment
- Understanding of billing and project management systems
- Excellent oral and written communication skills complemented by exceptional interpersonal skills;
- Being proactive and focused on client outcomes
- Quick learner, with good ability to grasp new information;
- Committed to providing excellent customer service;
- Ability to work in a time sensitive environment;
