Front Desk Administrator

Position Overview:
Reporting to the Administration and Patron Services Supervisor, the Front Desk Administrator
operates primarily from the main Reception Desk at the Victoria Park Community Centre. This role
involves diverse responsibilities, including managing program registrations, coordinating facility
bookings, and handling bank deposits. Serving as the initial point of contact for VPCC patrons, the
Front Desk Administrator addresses inquiries and guides individuals to the appropriate staff
member. Tasks include, but are not limited to:
Providing outstanding customer service to community center guests and patrons, offering
comprehensive and current information on the center's programs, policies, events, and
activities. Addressing inquiries and processing membership registrations and activity
applications
Performing a number of finance-related tasks including completion Completing bank
deposits, preparing payables for processing by the Treasury Department, coding invoices,
and maintaining accurate records
Maintains inventory of all office supplies, equipment for the department and makes
purchases as having due regard for Town policies
Serving as a cooperative team member for the department's registration
software, assisting in its oversight and providing training on its functionality and
usage to end-users.
Effectively executing tasks related to the department's initiatives, aiding supervisors in
organizing data collection, report writing, and other associated activities.
Recording and circulating staff meeting minutes as required.
Overseeing the scheduling of facility bookings and related contracts.
Advocating for and endorsing the Community Centre, its amenities, programs, and events to
actively involve the public, generate interest and increase participation and membership
Addressing general inquiries related to the department, facilities, and programs, along with
performing additional assigned duties.
Qualifications: Applicants should have relevant and progressive experience. Our ideal applicant
possesses:
Previous administrative experience, preferably obtained in a recreation environment.
Experience processing deposits
Proficiency in managing internal promotional marketing initiatives
Experience with recreation/booking software and an aptitude for working within a
paperless environment across multiple software platforms.
Demonstrated customer service orientation and exceptional interpersonal skills.
Proven proficiency in computing, the operation of office equipment and use of various software
applications.
Wage Information:
Probationary Rate: $28.53 per hour
Job Rate: $29.48 per hour
Benefits and pension in accordance with the Collective Agreement and Town of Ingersoll
policies.
Hours of work: 35 hours per week with schedule from 1:15 pm to 9:15 pm with scheduled break.
