Job description

Location: Wingham, Ontario

Hours: Monday - Friday 8:00 am - 5:00 pm

Position Type: 18-24 month contract


Position Summary:

We are seeking a motivated and detail-oriented individual to join our team as a Human Resources Assistant for a 18 – 24 month contract. The ideal candidate will provide crucial support to the HR department by assisting with various administrative tasks and ensuring the smooth day-to-day operations of Human Resources functions. This role will support all divisions, leaders and employees within the Britespan family. This role is an excellent opportunity for someone who is passionate about HR, possesses strong organizational skills, and enjoys working in a collaborative environment.

Education & Knowledge

  • Post-secondary education in Human Resources
  • Working towards or completion of CHRP designation - asset
  • HRPA Member - asset

  • Highly organized, analytical and able to handle multiple tasks

  • Intermediate computer proficiency (including Word, Excel and PowerPoint)
  • Ability to answer the main phone and direct customers
  • Exposure to ADP Workforce now– asset

Experience

  • 1-3 years in a Human Resources assistant/coordinator role
  • 1-3 years of administrative/customer service experience
  • Experience in recruitment & retention, training & development, conflict resolution and policy / procedure development & roll out considered an asset.
  • Experience handling confidential information

Communication

  • Effective communication and interpersonal skills (oral and written)
  • Team mindset: Ability to collaborate and work with others

Responsibilities:

Human Resources

Recruitment Support

  • Post job openings on various platforms
  • Review resumes and maintain candidate database
  • Schedule and coordinate interviews
  • Conduct interviews with the department head

Employee Onboarding / Offboarding

  • Schedule and prepare the first day/week onboarding for new hires
  • Ensure all IT equipment is available and set up
  • Prepare and distribute new hire documentation, ensure completion
  • Notify IT company of employees offboarding
  • Prepare proper paperwork for individuals' last day

HR Administration

  • Maintain and update employee records
  • Assist in managing HRIS System
  • Generate reports and assist in data analysis
  • Manage multiple inboxes
  • Benefits administration and inquiries
  • Assist in the development and maintaining of company policies, procedures, and programs
  • Research in the local labor market
  • Assist in the administration and reminder of employee reviews
  • Manage the time and attendance tracker

Training and Development

  • Coordinate training sessions and workshops
  • Track employee training progress in HRIS
  • Manage the setup and take down of training

Health and Safety

  • Assist in the administration of WSIB claims and return to work programs
  • Plant walk around to ensure departments are being compliant
  • Manage general inquires about health and safety
  • Report and file accident reports
  • Support the organizations safety programs and goals
  • All employees are to participate in, and positively contribute to the company culture, Health and Safety initiatives, continuous improvement and abide by the Employment Standards Act and all company policies and procedures while maintaining a customer service mindset.

Administrative

  • Prepare meeting agendas and take minutes when required.
  • Enter data accurately into databases and spreadsheets.
  • Maintain and update records, ensuring completeness and accuracy.
  • Answer and direct phone calls, take messages and handle inquiries.
  • Follow up on action items and deadlines to ensure timely completion.
  • Interfaces and collaborates with all divisions and departments
  • Provide efficient, solutions-oriented support to leaders and employees in responding to inquiries
  • Other duties as assigned
