The Office Administrator is a full time position responsible directly to the Director of Operations of the Elizabeth Fry Society Mainland Nova Scotia.
Position Scope: The Office Administrator is expected to function within the philosophy and principles, rules of work, policies and procedures of the Elizabeth Fry Society Mainland Nova Scotia. The Office Administrator may be required to take ongoing professional development and training to ensure the necessary skills, knowledge and capacities are maintained and developed.
Subject to reasonable direction by the Employer, you shall perform the following non-exhaustive duties and have the following responsibilities, and such other duties as may reasonably be assigned from time to time:
A. Job Specific Characteristics
· Client support and system navigation

· Knowledge of community organizations in Nova Scotia

B. Job Specific Requirements
· Welcoming visitors to the office
· Providing support to clients visiting the office
· Answering and directing incoming calls
· Checking and responding to voicemails
· Ordering office supplies
· Managing incoming and outgoing mail
· Document management, both physical and electronic
· Administrative support to management and other staff as required
· Management of credit card documentation / receipts
· Attention to detail
· Strong understanding of financial principals and policies an asset
· Familiarity with Microsoft Office suite an asset
· Vehicle and willingness to go out for errands an asset (milage compensated)
C. Maintaining Adherence to Policies, Procedures, and Health and Safety Standards
· Follow policies, procedures, and uphold organizational standards
· Be familiar with and be able to implement the emergency evacuation plan
· Make appropriate decisions and take appropriate action in times of crisis

· Participate in performance appraisals and self-reporting requirements
