Office Coordinator

About the Job:
Reporting to the Director of Human Resources, the Office Coordinator is responsible for overseeing various administrative functions at our Head Office to maintain a productive and welcoming office environment. This is a full-time salaried position on-site at our office in Georgetown, Ontario.
Your Accountabilities:
Reception and Guest Services:
- Greet and welcome guests professionally and courteously.
- Manage front desk operations, including answering phones, handling inquiries, and ensuring a positive first impression.
- Manage incoming and outgoing mail and courier services.
- Ensure that office procedures are followed and updated as needed.
- Address and resolve day-to-day operational issues and find solutions to challenges that may arise in the office.
- Administrative support for various departments as needed.
- Assist in coordinating travel arrangements including booking accommodations, flights, and other travel logistics.
- Assist in coordinating catering for various meetings and events.
- Support the planning and execution of company events and meetings.
- Implement and upkeep company policies.
- Upkeep of all company resources on our company network.
- Oversee the day-to-day operations of the office, including maintenance, organization of the office and supply rooms, and ordering of supplies.
- Manage office equipment, including troubleshooting and coordinating repairs.
- Ensure compliance with health and safety regulations in the office and emergency preparedness.
- Manage the Value Ambassador Program, Employee Discount process, upkeep of employee handbook, monthly town hall presentation, and other duties as assigned.
- Previous experience in office administration or a related field.
- Proven track record of consistently delivering exceptional internal and external guest services at a high standard.
- Strong proficiency in Microsoft Office applications.
- Excellent organizational and multitasking abilities.
- Strong written communication skills.
- Ability to handle confidential information with discretion.
- Previous experience in HR support is beneficial.
- Must be legally eligible to work in Canada.
