POSITION SUMMARY:
We are looking for dedicated and hardworking Project Assistant (PA) to join our growing company. We are seeking candidates with strong communication skills, detail oriented, organizational skills and have good time management skills.
Project Assistants quickly become an integral member of their team by collaboratively supporting all aspects of project delivery. The PA role is focused on the consistent flow of current, accurate, and usable information amongst the key stakeholders.
WHAT YOU’LL DO:
This role is a blend of administrative and project management support.
Administrative duties such as:
- Coordination of various meetings in terms of calendar invitations and booking required resources (meeting rooms, IT equipment, catering, and other logistics).
- Assist with the preparation of meeting materials; drafting agendas, collecting status updates, meeting minutes, maintenance of committee memberships, and dissemination of materials.
- Attendance at various committees’ and meetings, along with administrative support for recordkeeping and follow-up with both attendees and non-attendees.
Project Management support duties:
- Ensure that project related documentation is collected and maintained related to project templates, project tracking and planning activities
- Track and monitor progress of project activities and flag any deviations from plan.
- Ensuring the timely entry and updating of data by the various process owners and stakeholders.
- Maintain and update project repository with required tracking information
- Assist in the creation of any required ad hoc reports and/or communications
MUST- HAVES:
- Minimum three (3) year College Diploma or University Degree relative to information technology, health sciences, business administration or equivalent work experience.
- One to two (1-2) years project related planning/ coordinating experience
- Experience establishing and maintaining effective relationships with clients, vendors, and team members
- Experience handling confidential information on a daily basis with the utmost sensitivity
WE VALUE:
- One (1) year Post-Secondary Certificate in project management related field
- Healthcare workflow/process transformation and/or IT related experience an asset
- Advanced skills with Microsoft Office Suite products, including Teams, SharePoint, Visio, Word, Excel, Outlook, PowerPoint and OneNote.
OTHER CONDITIONS:
- Minimal exposure to disagreeable conditions typical of an office position: exposed to stress and pressure associated with multiple priorities and deadlines
- Must be able to travel within the Southwestern Ontario area, when required

Job Type: Fixed term contract
Salary: $21.30-$26.68 per hour
Expected hours: 37.5 per week
