As a Project Coordinator at our company, you will work closely with the VP of the department to ensure the smooth operation and successful completion of various projects. You will be responsible for preparing, reviewing, and editing correspondence, providing administrative support to project managers, coordinating project activities, and maintaining project documentation. The ideal candidate will be detail-oriented, possess excellent communication skills, and thrive in a fast-paced environment. Direct work experience in project management or electrical field is a definite asset.
Key Responsibilities:
- Prepare, review, and edit various forms of correspondence such as letters, invoices, presentations, and reports.
- Act as a point of contact for staff, clients, and the public, addressing questions, concerns, or suggestions.
- Coordinate project activities as assigned by the project manager, including liaising with field staff, attending job site meetings, and ordering materials, tools, and equipment.
- Provide administrative assistance to project managers, including work order creation, contract documentation, and issuance of permits.
- Assist with tracking and administering change orders, maintaining communication with customers, suppliers, and consultants.
- Monitor and report on job billing status and job report status monthly, ensuring compliance with company standards.
- Organize, maintain, and coordinate documents for distribution, mailing, and filing electronically.
- Adapt communication style to deliver information effectively to various individuals.
- Arrange travel bookings and manage incurred expenses.
- Assist with jobsite administration duties, such as timesheet completion and daily logs maintenance.
- Ensure adherence to company policies and standards for cost control, waste reduction, quality, safety, and timely project delivery.
- Help supervisors adjust working schedules to meet project deadlines.
Qualifications:
Post-Secondary Diploma, preferably construction related.
Proven experience as a Project Coordinator or similar role.
Strong organizational skills and attention to detail.
Excellent written and verbal communication skills.
Ability to work effectively in a team environment.
Willingness to learn and take initiative on tasks.
Ability to prioritize and manage multiple tasks and projects simultaneously.
Job Type: Full-time
Salary: $21.00-$32.50 per hour
