We are seeking a detail-oriented and organized Administrative Assistant to join our dynamic team. As an Administrative Assistant, you will play a vital role in ensuring the smooth operation of our office and providing crucial support to the team and clients. Your exceptional organizational skills, effective communication, and proficiency in administrative tasks will contribute to the overall efficiency and success of our projects. This position offers the opportunity for REMOTE WORK, allowing the selected candidate to perform their duties from a location of their choice. In-person training and monthly meetings may be required.
Responsibilities
· Office Support: Answer incoming calls and manage general inbox inquiries in a professional and friendly manner.
· Communication: Assist with internal and external communication, including drafting and editing emails and other correspondence. Communicate effectively with clients, vendors, and team members to ensure timely and accurate information exchange.
· Schedule: Manage calendars for executives and project managers, schedule appointments, meetings, and conference calls. Coordinate and confirm schedules with subcontractors.
· Documentation: Create, organize, and maintain physical and digital files, documents, and records related to projects, contracts, permits, and other administrative matters. Accurately input data into various software systems. Maintain up-to-date and accurate records for easy retrieval.
· Vendor Relations: Assist in coordinating with suppliers, subcontractors, and vendors. Create purchase orders, place orders, and ensure timely delivery of materials and services.
· Social Media Management: Manage and maintain the company's social media presence across platforms.
· Billing and Invoicing: Assist in preparing and processing invoices, purchase orders, and expense reports. Responsible for overseeing Accounts Payable and Accounts Receivable. Provide support to the Accounting Department.
Qualifications
· High school diploma or equivalent; additional education or training in office administration is a plus.
· Proven experience as an administrative assistant or in a similar role.
· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
· Strong communication skills, both written and verbal.
· Excellent organizational and multitasking abilities.
· Professional and friendly demeanor with exceptional customer service skills.
· Ability to work independently and as part of a team, managing priorities effectively.
· Familiarity with the construction or contracting industry is an asset.
