Job Summary:
We are seeking a highly organized and personable Receptionist assistant to join our team. The ideal candidate will be the first point of contact for our organization, providing excellent customer service and support. This role involves managing various administrative tasks, handling phone calls, community requests, mail, equipment/supplies orders, and contributing to program development. The Receptionist will also play a key role in organizing meetings and participating in program advisory discussions.
Job Duties and Responsibilities:
1. Front Desk Duties:
a. Receives incoming calls, retrieves voice mail messages, identifies nature of incoming telephone calls and information required, responds to general inquiries on a variety of government and community programs, takes messages and directs calls to appropriate staff.
b. Greets and directs clients to appropriate office and for service.
c. Establishes and maintains positive client relations under possible adverse or emotional circumstances.
d. Maintains staff in/out board, books meeting rooms and vehicle sign out, and notifies staff of arrivals.
e. Advises clients of initial and/or additional information or documentation required.
f. Keeps reception area neat and orderly, stocks pamphlet rack, monitors and advises on replenishing office stationary/supplies.
2. Community Requests:
a. Address community inquiries and requests with a positive and helpful attitude.
b. Direct community members to the maintenance lead for facility use.
c. Ensure the Wellness Center Director is informed of any community requests that require the use of the facility.
3. Performs general administrative support duties:
a. Drafts routine correspondence as required for professional staff signature.
b. Maintains/controls sign out sheets/books and keys for agency vehicles.
c. Advises of service/maintenance of office equipment.
d. Completes courier slips and arranges for pickup and delivery.
e. Arranges for outgoing correspondence including bulk mailing.
f. Advises of telephone system, repairs and maintenance.
g. Notifies/alerts appropriate staff of emergency situations.
h. Reviewing incoming and outgoing correspondence as required screening for anticipated supplementary information.
4. Meeting Organization:
a. Assist in organizing and scheduling meetings, ensuring all necessary preparations are made.
b. Coordinate meeting logistics, including room setup, audio/visual equipment, and food orders.
c. Record and publish the minutes of the meeting.
5. Other duties as required, within scope.
Qualifications & Requirements:
o Completion of secondary school is required.
o Valid Class 5 BC Driver's License
o Valid First Aid Certificate - Emergency First Aid – Community Care
o Must consent to a criminal record check.
o Good working knowledge of Coast Salish teachings is an asset.
Skills & Attributes:
o Proven experience as a receptionist or in a similar administrative role.
o Strong organizational and multitasking skills.
o Excellent verbal and written communication skills.
o Proficient in Microsoft Office Suite and other office management software.
o Ability to handle various responsibilities simultaneously in a fast-paced environment.
