Reporting to the Manager of Recreation Programs and Special Events, or designate, the Programs and Events Assistant is responsible for supporting the administration and implementation of Town lead programs and Events.
Some of the job responsibilities of the position include:
1) Provide administrative support to the Manager of Recreation Programs and Special Events and the Programs and Events Coordinator, including:
- Manage program and event registration software system.
- Follow-up with vendors and process invoices.
- Prepare supplies and track inventory for programs and Events.
- Support the coordination and activities of volunteers and vendors at programs and Events, and
2) Provide administrative support for Committees, including distribution of committee agenda, minutes and reporting requirements
3) Provide backup for the Facility Clerk including
· Providing reception support and general administration
· Booking user groups, facility rentals.
· Reconciling daily financials
4) Support and/or lead fitness, recreation or leisure programs.
· Follows the principles of Healthy Child Development (HIGH FIVE®) in the planning and delivery of programs
5) Ensure compliance with the Town and legislated policies and procedures.
6) Respond to customer inquiries, and provide exceptional customer service.
7) Post approved posts on social media.
8) Other duties as assigned.
Qualifications
1) College diploma in administration, event management or recreation, administration.
2) Two years of office experience required.
3) Proficient and experienced with Microsoft Word, Excel, PowerPoint, Outlook, Canva and utilization of social media networks.
4) Knowledge of Perfect Minds or similar recreation/program booking software an asset.
5) Certification in program specialization or previous facilitation in wellness and fitness, dance, gymnastic, sports, culture programs or programs for early years, school age and 55 plus individuals.
6) Ability to work effectively in a team environment and work independently.
7) Communication, interpersonal and customer service skills to listen and exchange information in a professional manner.
8) Hold a valid class “G” license and access to a personal vehicle is required.
9) Smart Serve Trained
10) Valid standard First Aid and CPR/AED certification
Working Conditions
- Work is typically performed in both standard offices and outdoor environments with the potential exposure to adverse weather conditions.
- Ability to lift and move items for set-up and take-down up to 50 pounds (display tents, decorations, sound systems, etc.)
- Requires a need for detail and accuracy.
- The normal work schedule for the Program and Events Assistant shall be eight (8) hours per day for five (5) consecutive days, with two (2) consecutive days off being Monday and Tuesday, exclusive of a daily unpaid lunch period of one-half (1/2) hour.
Rate of Pay
Range- $31.24- $32.24
