Warehouse Coordinator | Food Importation & Distribution


FULL TIME POSITION – Finica Food Specialties Ltd., Mississauga Ontario CANADA

Today, Finica Foods Specialties Limited operates as a sister company of Atalanta. We continue to capitalize on our experience in importing cheese and fine food with a clear mandate to represent our suppliers through aggressive category management.

Our customer base includes retail supermarket chains, independent boutiques, and foodservice chain and independents. Our Distribution network is made up of specialty cheese and food distributors across Canada. Some of the brands we represent in the cheese market today are Celebrity International Goat Cheeses, Beemster, Zerto, Snowdonia, Collier’s, Thornloe and Sartori.


Summary/Objective:

The Warehouse Coordinator is responsible for providing systems and inventory support to our operations. Through the application of systems expertise, the Warehouse Coordinator supports several key processes from pick strategies, and productivity measurements to inventory practices as well as assisting the functional leads in troubleshooting, analyzing, and resolving process and system challenges.

The role will also ensure the team is performing the appropriate actions in adherence to legislative, safety, and organizational policies and procedures, including compliance with DFIA regulations with regards to warehouse cleanliness under the requirements of AIB International.


Essential Responsibilities:

  • Receive and process incoming orders and have them ready for respective ship/pickup day.
  • Release orders (print Pick Tickets).
  • Performs Special Processing in WMS – (quantity adjustments, transformation processing, location moving, switching lots, order amendment, etc.)
  • Book appointments for accounts that need appointments, such as Costco, Metro, etc.
  • Coordinate with the logistics team to schedule deliveries and monitor shipment progress, including:
    • Print Bill of Lading and file in shipping lots
    • Print Walmart labels, Bills of Lading, and Packing Slip
    • Print Loblaw’s ASN’s
    • Email transport companies for pickups and freight bookings. Phone when necessary
    • Print Labels from cargo records (when required)
  • Maintain accurate records of food product inventory levels, conduct regular stock counts to ensure proper inventory control, and implement and oversee inventory management systems, including:
    • Enter Best Before Dates into the system once the product has been fully received and put away;
    • Request extensions, due to missed appointments or changing appointments with carriers
    • Print reports for quantity checks based on lots and location
    • Make any quantity adjustments as necessary
    • Perform pick-face inquires and bin maintenance as required with the WMS system
    • Assist in the waiving of orders as required by the WMS system
    • Manage product inventory and adjust any entries that may need to be regulated
    • Conduct physical inventories to determine losses and identify stocks for shipment
  • Maintain accurate records of inventory levels, shipments, and receipts, generate reports on warehouse activities, including inventory turnover and order fulfillment, including:
    • Record Cheps going out and Cheps coming in
    • Check all Bills of Lading to ensure appropriate info has been collected
    • Manage documentation associated with shipping processes
    • Document all actions by handling logs and records and managing information on forms
  • Ensure compliance with all health and safety regulations, including food safety standards; conduct safety inspections and implement corrective actions as necessary.
  • Identify opportunities for process improvement and cost reduction, implement best practices, recommend operational enhancements, and investigate and report warehouse operational discrepancies.
  • Participate in all operational functions as directed by the Operations Supervisor.
  • Perform other functions assigned by the Operations Supervisor from time to time.

Knowledge, Skills, Abilities, and Qualifications:

  • High school diploma or equivalent (Bachelor's degree in logistics or related field preferred)
  • At least 2 years experience in warehouse coordination and/or administration
  • Food industry experience is highly desirable
  • Knowledge of food safety regulations and quality control standards
  • Effective time management skills to prioritize tasks and meet deadlines in a fast-paced environment
  • Ability to manage multiple tasks simultaneously, such as receiving orders, coordinating shipments, coordinating staff, and addressing urgent issues, while ensuring that each task receives the appropriate level of attention.
  • A commitment to accuracy and precision in all tasks, such as checking inventory counts to ensure that orders are picked and packed with meticulous attention to detail.
  • Proficiency in using warehouse management software, such as WMS, and Microsoft Office Suite.
  • Strong written and verbal communication skills to interact with team members, suppliers, carriers, and customers effectively.

Working Conditions

  • Standing and Walking: The job may involve a significant amount of time spent on your feet, walking around the warehouse to observe operations, inspect inventory, or assist with tasks. Being comfortable with prolonged periods of standing and walking is important.
  • Temperature Variations: Depending on the type of food products stored, the warehouse environment may have temperature variations. Some items may require refrigeration or freezing, while others are stored at room temperature. Warehouse Coordinators should be prepared to work in these conditions.
