The role can be based anywhere in Canada. All employees work virtually from their home office; therefore a minimum requirement is that employees have home office space and high-speed internet. This role requires employees to work non-standard hours to support global needs, employees are generally expected to be able to work during standard core hours (i.e. 9am to 5pm) when non-standard hours are not required.

Job Summary


IIBA is looking for an Accounts Payable and Payroll Specialist responsible for managing IIBA’s bi-weekly Payroll and day-to-day AP financial transactions. Responsibilities include payroll including all deductions and remittances, all accounts payable transactions including contractor invoices, processing of staff and board expense reports using Concur, posting to the general ledger and providing support to the Director of Finance, as well as other administrative and ad/hoc requests.


Responsibilities


Payables (50%)

  • Coordinate AP processing in Business Central Dynamics 365 for contractor and vendor invoices/receipts.
  • Prepare Monthly, quarterly and Year-End reconciliations, adjustments and reports including HST remittances
  • Document processes and procedures as well as process improvements where necessary.
  • Verify and process reimbursable expenses to staff, act as the Concur administrator.
  • Onboarding of staff regarding expense submissions/reimbursements as well a payroll/benefits Support the Accounting and Finance department

Payroll (35%)

  • Prepare Yearend T4, T2200, 1099 and related reporting/reconciliation. Reconcile key payroll accounts on a quarterly basis and address any issues/concerns in a timely manner.
  • Prepare and process bi-weekly payroll with required remittances, including Benefit Provider and BambooHR reconciliations.
  • Ensure all data files are complete and approved for transmission to payroll service provider
  • Review and ensure accuracy of approved timesheets and other input documents
  • Investigate and resolve any payroll issues with HR
  • Prepare journal entries and reconciliations for payroll related accounts
  • Ensure that all salaries/wages are paid accurately and in accordance with regulations in a timely manner
  • Collaborate with HR to ensure payroll and other personnel records are accurate and up to date

Benefits Administration & Other (15%)

  • Administer all benefit plans in compliance with IIBA’s plans
  • Serve as the first point of contact for staff for benefits related questions.
  • Work in conjunction with other finance team members, providing coverage and support as required
  • Other add-hoc duties as required by operational needs

Qualifications

  • The ideal candidate has 3+ years’ experience working in an accounting role with experience in both Payables and/or Payroll
  • A post-secondary degree or diploma in business administration, finance, accounting or related field.
  • Preference will be given to candidates working toward a CPA or CPC designation or equivalent.
  • Proficiency with various software/application tools including Business Central, ADP Payroll, Concur. Ability to work with external benefits and payroll providers
  • Strong working knowledge of Microsoft 365 (Outlook, Excel, SharePoint, Teams). Highly organized, responsive, methodical, attention to detail.
  • Strong communications skills, both verbal and written.
  • Excellent attention to detail.
  • Ability to perform mathematical computations accurately and quickly.
  • Experience managing payroll, and government remittances.
  • Excellent time management, organization and prioritizing skills.
  • Strong problem identification and resolution.
  • High level of critical thinking, analysis and reasoning to create solid processes to support various lines of business finances.
  • Ability to work independently and with minimal supervision.
  • Experience working with US payroll systems and multi-currencies would be a definite asset.
  • Experience with employee benefits would be a definite asset.
  • Demonstrated successful experience working virtually/remotely is preferred.
