The Opportunity
Reporting to the Manager of Ambulatory Care and Regional Poison Center, under the supervision of the Team, the Administrative Assistant I works as a member of the Pain Care Team to support the team in their wide range of patient care. Primary responsibilities include, but are not limited to: Establishes and maintains office filing system including processing incoming/outgoing mail; coordinates and schedules appointments, books/coordinates clinics for patients; coordinate both local and Virtual Care appointments including distribution of appointment letters; generate follow-up letters to referring physicians; provides reception and registration functions for patients and their families; answers telephone calls, relays messages and refers calls with follow-up as appropriate; Data entry into Pain Program database; compiles team data for quarterly reports; coordinates Comfort Ability program; and other related duties as assigned; participates in ambulatory care team discussions as required, offering input and energy into efforts at improving clinic efficiency and functioning.
Hours of Work
Flexible; 0800 – 1600 Monday-Friday
Your Qualifications
• Minimum high school diploma or GED required.
• Graduate from a recognized Office administration Diploma Program required. A combination of education and experience will be considered.
• Minimum six (6) months related administrative experience in a health care environment preferred
• Experience with MEDITECH preferred
• Previous patient registration and knowledge of Community Wide Scheduling (CWS) experience preferred.
• Medical Terminology is preferred.
• Excellent organizational skills & flexibility in meeting workload demands.
• A team player with strong interpersonal skills required.
• Demonstrated ability to type accurately with a minimum of 60 wpm required. (Typing test may be administered)
• Strong working knowledge of Windows, Word, Excel and database programs required.
• Demonstrated initiative; self-motivated and able to work with minimal supervision required.
• High regard for quality and attention to detail required.
• Experience in MS Outlook and/or Internet an asset.
• Good working knowledge of office equipment (i.e. Facsimile & Photocopier).
• Ability to work within a framework of the highest confidentiality.
• Competencies in other languages considered an asset.
