Ruth and Naomi’s Mission is a Christian faith-based organization with a vision and commitment to see the lives of people experiencing homelessness, poverty, and struggling with addiction transformed by the love of God. To assist in this work, we are seeking a full-time Administrative Coordinator.
The Administrative Coordinator acts as a support for the Human Resources department and will regularly work alongside other members of the management team to support the roll-out of various initiatives and projects. They are responsible for ensuring the smooth operations of the office and coordinating team building and internal events. This position participates in recruitment and onboarding, ensuring individuals joining the Ruth & Naomi's team are provided with the necessary resources and support to thrive in their positions. This position operates with a high level of autonomy and is responsible for creating and executing proposals for identified areas of growth. Responsibilities
- Support day-to-day Human Resource functions, such as recruitment and onboarding, and improving our internal forms and templates;
- Assist with managing employee information, facilitating smooth communication and the transition of information between the Finance and Human Resources departments;
- Facilitate office operations, managing supplies, filing, and scheduling as directed;
- Conduct Health & Safety reviews, participate in Joint Committee meetings, and develop health & safety procedures;
- Coordinate staff training, ensuring all staff have the requisite certifications and scheduling facilitators for in-house training;
- Organize internal staff events as directed;
- Participate in policy and process development, conducting research, and reviewing existing procedures;
- Automate paper templates, converting pdf forms to signature templates & Microsoft forms;
- Take minutes and meeting notes as required;
- Support the Finance department with data entry as requested;
- Other tasks as assigned.
Assets & Experience
- Formal education in Business Administration or related field preferred;
- Demonstrated experience in a similar role in lieu of formal education will also be considered;
- Experience in policy development an asset;
- Strong aptitude for technology and the ability to learn new software quickly required;
- Excellent verbal and written communication skills;
- Excellent problem-solving abilities with a creative and innovative lens.
