Job Description:
We are seeking a highly motivated and detail-oriented Administrative Coordinator to join our dynamic team at Ambipar Canada. In this role, you will play a pivotal part in supporting our organization by ensuring the seamless functioning of HR and HSEQ operations.
Based out of our Calgary office, this position requires strong attention to detail and a proactive approach to tasks.

Responsibilities:
- Provides administrative support to Human Resources and HSEQ, as required. This includes, but is not limited to scanning of documents, photocopying, filing, data entry, form building and presentation creation.
- Maintain organized filing systems for both physical and electronic documents.
- Administrative support to the executive Leadership Team as required
- Document control of important documents, contracts, and agreements.
- Maintain and complete audit records and action items.
- Coordinate and organize meetings, conferences, and office events.
- Assist in special projects or initiatives as assigned by management.
- Understand and manage safety certifications.
- Compile and update employee records (hard and soft copies).
- Process documentation and prepare reports relating to personnel activities .
- Coordinate communication with potential candidates and schedule interviews.
- Assist with the implementation of policies and practices
- Manage office supplies and stationary inventory
- Handle incoming and outgoing phone calls
- Greet clients arriving in the office
- Prioritize safety compliance and cultivate a positive safety culture.
Requirements:
- Bachelor’s degree or Diploma in Business Administration, Communications, or a related field.
- Effective verbal and written communication skills.
- Strong Project Coordination skills and the ability to work well with all levels of internal management and staff as well as outside clients and vendors
- Ability to articulate complex information in clear and concise documents.
- Strong ability to multi-task and make decisions utilizing priority management, interpersonal and organization skills
- Manage a heavy workload with time sensitive deadlines.
- Minimum 3+ years of administration experience
- Excellent organizational, prioritization, and time management skills, with a keen attention to detail.
- Advanced knowledge in Microsoft Office (Word, Excel, PowerPoint, Outlook), Adobe Acrobat, and virtual meeting platforms (Zoom, Teams), with a willingness to adopt new technologies.
- Ability to adapt to changes related to work processes, department structure, environment and technology
- Ability to demonstrate independence, resourcefulness and tenacity
- Previous experience with IMS or an HRIS system is an asset.
- Keen attention to detail
- The ability to build and maintain positive working relationships, and function effectively with minimal supervision.
- Handle sensitive confidential information with integrity.
