Community Adult Learning Program Coordinator Job Description
30 hours per week, Mon-Fri
Reporting to the CLERC Supervisor, the CALP Program Coordinator will be expected to:
The purpose of this role is to be the first point of contact for Grande Cache CLERC clients, volunteers, staff and visitors, as they enter the office. As well, this role will allow you to administer and further develop the Community Adult Learning Program, which has been in operation since 1984. This role will give you the opportunity to be creative and resourceful in developing community learning opportunities for adults in Grande Cache and area.

Program Development
· Identify community needs and interests for program opportunities through consultation with members, partners, agencies and learners, and respond accordingly
· Work together with HALS (Hinton Adult Learning Society) team to plan, develop, coordinate, market and evaluate programs, courses, special events and collaborative projects
· Plan and implement advertising and marketing strategies
· Provide assistance, information, referrals and coaching to learners
· Support learners and in their initial and on-going literacy and learning activities through assistance with individual programs and evaluation
· Recruit and support tutors
· Support GG CLERC staff which may include tutors and instructors.
· Ensure exceptional customer service experience to clients, staff, visitors and volunteers.
· Provide mentorship, coaching and motivation to learners to support and fulfill their learning goals.
· Promote CG CLERC at community level on a continuous basis using media as appropriate (posters, radio, advertisements, pamphlets, newsletters, community publications)
· Recruit and support learners for programs and courses
· Maintain confidentiality with learners, clients, volunteers, staff, board and contractors
· Work together with the FASD team within the In Reach Program
· Abide by all HALS policies and procedures
Office Administration
· First point of contact with clients – greet all visitors by offering refreshments,
· Develop and update administrative systems to make them more efficient
· Document statistics of learners and courses in accordance to funding requirements using the CALP database
· Provide intake and assessment for new learners
· Perform general office administrative functions such as, but not limited to:
· Filing, word processing, copying, binding, scanning, printing, etc.
· Prepare and code invoices and payables
· Answer telephones and route calls as appropriate
· Manage supply orders and maintain appropriate quantities in stock room
· Organize and maintain Resource Centre and order resources as required
· Assist in developing and implementing annual business plan and budget
· Assist in seeking alternate funding sources and partnerships for programs/projects
· Maintain accurate financial records
· Maintain office in an orderly manner
· Maintain and update GC CLERC website on a regular basis
· Maintain and update GC CLERC social media on a regular basis.
Community Relations
· Actively promote GC CLERC and lifelong learning and literacy through a variety of community activities including presentations and public speaking opportunities
· Represent GC CLERC and publicize its activities
· Coordinate local resources to minimize duplication and foster partnerships
· Act as a community information resource
· Participate in networking activities with colleagues, other learning organizations and community members
· Organize and carry out public education and awareness initiatives
· Plan and implement special events (Volunteer Appreciation Week, International Literacy Day, Family Literacy Day, Adult Learners Week, etc.)
· Develop and maintain partnerships with other community groups, employers, agencies and individuals
· Attend meetings as required.
· Establish cooperative relationships with other Community Adult Learning and literacy councils especially on a regional basis
Professional Development
· Participate in professional development opportunities as they arise and are relevant at local, regional and provincial levels.
· Mandatory completion of Introduction to Foundational Adult Learning within the first two years of employment
This job description will be reviewed on a regular basis, and revised as required with input from the Program Coordinator.
Qualifications:
Undergraduate degree or diploma in Adult Education, Human Services, Social Work, Social Science, or related field and/or comparable experience working within the Adult Learning field.
Minimum of 2 years’ work experience in the field of human services/adult education.
Commitment to a strength-based, client-centred approach.
Experience with public speaking, facilitation and leading groups.
Experience with marketing and development of marketing materials, specifically using CANVA.
Superior communication ability including both written and spoken.
Excellent interpersonal skills including positive attitude, self-motivated, self-starter, time management, team work, creativity
Exceptional Customer Service Skills
High level of personal integrity and ethical practice.
High degree of Indigenous cultural awareness.
Knowledge of community development processes and ability to enhance community capacity.
Excellent computer skills including Microsoft Office Suite, specifically using Apple Devices (iPhone, iMac, iPad)
Ability to work under pressure, handle multiple priorities, and tight timelines.
Ability to maintain a flexible work schedule.
A vehicle and valid class 5 driver’s license.
Able to provide a clean criminal record check within the vulneable sector.
