JOB SUMMARY: This position is funded through Ontario’s Job Creation Partnerships (see more details below). Work with the Artistic Producer, Festival Manager and School Outreach coordinator to track and organize information regarding school bookings including school arrival and departure times, and special accommodations; and volunteer coordination, including assisting in scheduling, tracking hours, and confirming volunteer shifts.
RESPONSIBILITIES:
● Following up with confirmed school bookings to confirm travel details and booking details.
● Coordinate and distribute information to confirmed school groups including Adopt-A-School sponsored attendees.
● Organizing the collected data into daily itineraries.
● Researching potential outreach events (ex. OCSB MASC Event, Salon du Livre du L’Outaouais).
● Tracking and organizing non-school group bookings (e.g., birthday parties).
● Maintaining comprehensive databases with current contact names and information for school and community contacts.
● Assisting in the creation of a volunteer schedule and tracking student volunteer hours.
● Confirming volunteer assignments and adapting the schedule to accommodate last-minute adjustments.
● Aid in communicating relevant information to school-group greeters, volunteer supervisors.
● Assist in running group activities on site such as school contests and scavenger hunts.
● All other duties as assigned.
SKILLS and QUALIFICATIONS:
● Be a team player.
● Have training or previous experience in customer service and/or special events.
● Possess strong written and verbal skills.
● English fluency, French is an asset.
● Be able to meet deadlines, perform under pressure and delegate tasks.
● Must be computer literate.
ADDITIONAL QUALFICIATIONS REQUIRED:
Eligible to participate in Ontario’s Job Creation Partnership (JCP) program by meeting the following criteria:
1. You are a resident, living in Ontario.
2. You are not a full-time student (part-time students are eligible).
3. You are not leaving employment to participate (working less than an average of 20 hrs./week is considered unemployed.
4. You also must meet, and provide documentation for, at least one of the following criteria:
a. Previously established an Employment Insurance benefit claim (regular benefits within the last three years or maternity/parental within the last five years), OR
b. Previously employed in Canada in five of the last ten calendar years and earned gross income in excess of $2000 in each calendar year.
REMUNERATION:
$662 (gross) per week provided by the Province of Ontario ($20.6875 based on 32 hours per week).
