Position Summary:
As a Front Desk/Administrative Assistant, you will be the first and final point of contact for clients and visitors, ensuring a positive and welcoming experience. You will play a crucial role in supporting various administrative functions and will have the opportunity to expand your responsibilities over time, with the potential for growth into the clinics Office Manager. This role requires a proactive and detail-oriented individual with excellent communication and organisational skills.
Responsibilities:
- Greet and assist visitors in a friendly and professional manner.
- Manage phone calls, emails, and correspondence with a high level of professionalism.
- Coordinate and organize patient appointments, staff schedules, and meetings
- Maintain office supplies and ensure the front desk area is organized.
- Perform administrative tasks such as billing, purchasing, and document preparation.
- Collaborate with clinic staff and practitioners to optimize clinic procedures.
- Actively grow business within the community by developing programs, attending events, scheduling offsite meetings
- Demonstrate a commitment to continuous improvement and actively seek opportunities to take on additional responsibilities.
Qualifications:
- High school diploma or equivalent
- Previous Experience with Jane App is an advantage
- Previous experience in an administrative or customer service role.
- Previous experience working in a healthcare environment is an asset
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Positive attitude and a willingness to learn and adapt.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Ability to work alongside staff of other businesses/clinics
