This is a Full Time in person position out of Orillia
The HR Assistant will provide comprehensive support and administrative service to the Human Resources team, Dispatch, and senior management. The HR Assistant will be a role model of organization, professionalism, communication, continuous learning and team work. Due to the duties of the job, the HR Assistant will have access to private, confidential, and sensitive information and is expected to adhere strictly to privacy and confidentiality policies and laws.

Job Duties
Human Resource Duties
- Create and maintain all employee files including the creation, tearing down and managing the filing system
- For all new hires: create employee on TMS, send out TMS login email, add employee to phone lists, email lists and schedules, audit file documents for completion and follow up on any outstanding items and provide file to Accountant for payroll
- For all terminated employees: remove employee from TMS, phone lists, schedule and, break down the file and provide it to the Book Keeper / Accountant
- Track employee certifications and update in file and TMS
- Run drivers abstract as required
- Notify Accountant of payroll deductions including but not limited to uniforms, drivers abstract etc
- Create and send out newsletter to all employees
HRIS/Time Management System (TMS)
- Manage timeclock system, reconciling system as required, including time and absence tracking, vacation tracking, scheduling etc.
- Keep system up to date including adding and removing staff
- Train new staff on how to access and utilize the TMS system
- Receive and answer questions from current staff regarding the system
- Complete data entry as required
- Create and run various reports as needed
- Complete year end process and reconciling the system
Uniforms
- Maintain inventory tracking
- Track all uniforms based on uniform requests that come through from employees
- Complete orders as needed to ensure the required stock levels are maintained
Evaluations
- Run evaluation report on a monthly basis to create a list of eligible employees
- Ensure completion of appropriate audits
- Complete HR portion of the evaluation and input audit information
- Send evaluation to Supervisors / Regional Manager and monitor deadlines
- Complete final review and send for approval
- Ensure completion and update in TMS and employee files
- Monitor raises and complete employee status change form as appropriate
- Assist in delivering evaluations as needed
WSIB
- Assist the Human Resources Generalists in the investigation of all injuries
- Assist with completion of required documentation such as form 7’s and return to work letters
Health and Safety
- Attend Health and Safety Meetings and complete meeting minutes
Scheduling
- Receive and process all requests for time off, vacation, shift exchanges etc
Other duties
- Act as a back-up for the Human Resources Generalist in their absence
- Assist the Human Resources Generalist(s) in any other HR tasks as requested
- Complete all other duties as assigned
This is a 12 month contract with the possibility of extension
Educational Requirements
- Post Secondary Education in Human Resources or Office Administration, or previous workplace experience in these fields, is an Asset
