The Maintenance Service Administrator serves as the pivotal point of contact for all maintenance fleet activities, playing a crucial role in providing essential support and coordination. This dynamic role encompasses a variety of responsibilities, blending administrative tasks with direct, hands-on engagement to ensure the efficient and smooth operation of all maintenance activities.
Key Accountabilities:
- Diligently keep the reassignment list current, ensuring all fleet unit movements and status changes are accurately and promptly recorded.
- Regularly update and verify the accuracy of the SSC application, ensuring all data regarding trucks and trailers is current, comprehensive, and precise.
- Consistently maintain the prequal book, including details of all units out of service, along with repair units as noted in shift reports, ensuring all entries are current and accurate.
- Efficiently close work orders in the system once maintenance or repair work on trucks and trailers is completed, ensuring all data entries are accurate and timely.
- Step in to handle shift communications effectively when the shift supervisor is unavailable, ensuring smooth and continuous communication flow during shifts.
- Provide necessary support and guidance to traineeship employees, assisting in their training and development as needed.
- Act as a liaison between operations, weekday trailer supervisors, and other relevant departments regarding the status of completed trailers.
- Relay repair and maintenance schedules to technicians clearly and promptly, ensuring they are well-informed and prepared for their tasks.
- Aid in the review of ISO processes, compliance, and procedures within the Cambridge maintenance shop, and report any findings or discrepancies to the maintenance manager.
- Lead and manage training sessions, particularly on weekends (Saturday and Sunday), to educate and train staff on using and managing the prequal system.
- Be adaptable and ready to take on additional responsibilities or tasks as needed, ensuring flexibility and responsiveness to the dynamic needs of the maintenance shop.
- High school diploma
- At least 2 year working in a automotive shop environment
- Proven experience in an auto shop or maintenance environment.
- Familiarity with fleet management and maintenance procedures.
- Understanding of ISO standards and compliance.
- Exceptional interpersonal skills
- Strong attention to detail
- Good communications skills (written and verbal)
- Strong self-discipline and initiative
- Creative and effective problem solving ability
- Ability to work with minimal supervision
